The Marketing Compliance & Accreditation Coordinator plays a critical role in ensuring that all marketing, communication, and digital content complies with regulatory standards and internal policies. This position supports the review and approval of promotional materials, manages continuing education (CE) accreditation processes, and maintains accurate records of compliance activities. The ideal candidate is detail-oriented, collaborative, and committed to upholding the integrity of the organization’s public-facing content and advisor education initiatives.
Key Responsibilities
Always within regulation and compliance requirements, the essential functions include:
Digital Content Monitoring:
Monitor, review, and approve websites and social media platforms (e.g., Facebook, LinkedIn, Instagram, Twitter) using tools such as SQWatcher and SunGard.
Marketing & Communication Review:
Participate in the end-to-end review and approval process for all marketing and communication materials, including advertisements, newsletters, articles, brochures, presentations, letters, stationery, co-op and donation requests, and trade names.
Accreditation Support:
Assist in obtaining accreditations from relevant bodies (e.g., Chambre de la Sécurité Financière, IQPF, Advocis) for dealer presentations at national conferences, roadshows, and training sessions to ensure advisors receive CE credits.
CE Credit Management:
Maintain and monitor CE credits using the CIRO Certs tool and the CSF platform.
Record Keeping:
Maintain detailed logs of all reviewed, approved, and rejected marketing and communication materials, websites, and social media content.
Team Collaboration:
Provide support to other staff members, demonstrating versatility and a multi-tasking approach.
Stakeholder Communication:
Communicate clearly and efficiently with advisors, internal departments, and external partners as needed.
Project Involvement:
Handle special projects and perform additional tasks as assigned.
Continuous Improvement:
Actively participate in daily continuous improvement initiatives using DMS and Lean management principles.
Qualifications
Post-secondary education in Marketing, Communications, Compliance, or a related field;
Canadian Securities Course (CSC or equivalent) required;
Branch Manager’s supervisory course (or equivalent) required;
Experience in a compliance or marketing review role, preferably in the financial services industry;
Familiarity with regulatory bodies such as AMF, CIRO, CSF, IQPF, Advocis;
Strong organizational and record-keeping skills;
Excellent communication and interpersonal abilities;
Proficiency in Microsoft Office 365 (Outlook, Word, Excel);
Proficiency with monitoring tools like SQWatcher and SunGard is an asset.
