Description:

Provide customer service to greet and assist attendees and partners of the Wellness Center. Provide departmental and clerical support to the staff to assist in ensuring smooth daily operations, the dissemination of accurate and timely program information, facility set-up/breakdown, and data collection.

Responsibilities

Operations

Assist administrators of the Wellness Center to ensure smooth daily operations of the Center.

Ensure a welcoming and hospitable environment to greet and assist attendees at the Center and serve as the primary information source for the programs and services at the Center.

Answer questions in-person at the service desk. Answer/direct incoming phone calls accordingly.

Resolve problems where possible or refer escalated problems to the appropriate person.

Provide clerical support for the Wellness Center staff and distribute non-confidential correspondence.

Perform routine support functions including requisitioning office supplies, making travel arrangements, work orders, help desk requests, etc. for the Center staff.

Programs / Events Support

Process logistics for the Center programs and events such as space reservations, registration, events schedules, food service, pre-post programming surveys, and other related clerical tasks.

Manage bookable space for the center in conjunction with associated college departments and partners.

Direct inquires for partnerships to the Associate Director.

Assist in preparing the Center for the day’s activities.

Ensure participants and guests have proper documentation and keep a tally of daily attendance, patrons, programs and partner services of the Wellness Center.

Maintain the staff schedule calendar, center calendar, and onsite service bookings page.

Assist in scheduling and guiding Wellness Center Tours.

Marketing:

Check and respond to emails in the Wellness Center email account.

Answer questions and engage with the social media community through various platforms.

Assist with the distribution and posting of health and wellness materials on campus and in the center.

Assist to represent the Center at internal and external tabling events, tours and opportunities to promote the Center.

Facilities

Submit school dude requests and other needed documentation to maintain the safety and quality of the facility.

Perform routine and daily facility management duties such as grab and go items in the NH.

Departmental Support

Participate as a member of the Strategic Partnership Department team to provide input on partnerships, programs, services, activities, and processes for the Department and the Wellness Center.

Participate in professional development activities as requested by the Director.

Provide training and/or assistance to other support staff as requested.

Qualifications

Minimum Education & Experience:

Associate degree required or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Two years of experience providing administrative or clerical support of a similar nature.

Knowledge/Skills/Abilities:

Strong customer service, organizational, communication, and interpersonal skills.

Proven ability to work effectively with employees of varying ages and diverse backgrounds.

Computer literacy skills at an intermediate level with the demonstrated ability to utilize and apply Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications.

Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.

Must have demonstrated ability to operate integrated database.

Must be able to lift 15 lbs and support in moving furniture.

Occasional local travel is required.

100% on-site presence is required to perform essential functions.

Preferred Qualifications & Special Considerations:

Occasional overtime, including weekends, may be required.

Knowledge of Monmouth County and its communities.
