We are seeking a professional, organized, and friendly Font Desk Assistant to join our firm and provide essential operational and client support. This role is responsible for managing the reception area, greeting clients, coordinating appointments, and assisting with a variety of administrative tasks to help the office operate smoothly and efficiently. This role is also an opportunity for the right candidate to professionally develop into the practice management role for the firm. The ideal candidate is proactive, detail-oriented, and committed to delivering excellent service.
Responsibilities:
Reception & Client Services
Greet clients and visitors in a professional and courteous manner
Answer and direct phone calls promptly and accurately
Manage incoming emails and physical mail; distribute to appropriate staff
Maintain a clean, organized, and welcoming reception area
Scheduling & Coordination
Schedule client meetings, internal appointments, and conference room bookings
Confirm appointments and send reminders as needed
Coordinate calendars and manage availability for partners and managers
Administrative & Operational Support
Prepare and organize client files, engagement letters, and onboarding documents
Assist with scanning, copying, and filing documents (physical and digital)
Process incoming tax documents during peak seasons and track their status
Maintain office supplies and order inventory as needed
Assist with billing support and follow-up on client payments, as requested
Ensure all prospects are in a follow up process, coordinating
Team Support
Support accountants and tax professionals with administrative tasks
Help coordinate firm events, meetings, or client appreciation activities
Assist with onboarding new clients
Help identify opportunities for process efficiencies
Qualifications
High school diploma or equivalent (Associate's degree preferred)
2+ years of experience in a front desk, receptionist, or administrative role
Experience in a professional services or accounting firm is a plus
Strong organizational and time management skills
Excellent verbal and written communication abilities
Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with scheduling tools or CRM software a plus
Professional demeanor and customer-focused attitude
Ability to handle sensitive and confidential information with discretion
Desire to grow into an operational leadership role
