Position: Data Entry Specialist

Department: Admin

Exempt/Non-Exempt: Non-exempt, full time position

Immediate Manager: Senior Marketing & Development Coordinator

Availability: The regular schedule of this position is Monday-Friday, 9AM to 5PM and may include some limited evening, weekend, and holidays. Occasionally, work hours will be affected by special events or department needs.

General Position Summary:

The Data Entry Specialist plays a critical role in advancing Brother Wolf's fundraising and operational success through meticulous, high-volume data entry and administrative support. This position requires a detail-oriented professional who thrives in accuracy-driven tasks and takes pride in precision. Working collaboratively across departments, this individual ensures databases and internal systems are maintained to the highest standard. Additionally, they will provide essential administrative support to director-level staff across all departments.

Essential Function/Major Responsibilities:

Accurately input and maintain donor records in the CRM system, including daily gifts, contact updates, and communications.

Support the finance team with accurate record keeping, data entry, light filing and scanning to ensure accurate financial records.

Process a high volume of transactions weekly, including checks, direct deposits, credit card donations, cash, online gifts, matching gifts, and more.

Respond to emails and voicemails promptly and efficiently, delivering exceptional customer service to Brother Wolf supporters.

Ensure timely completion of donor acknowledgment activities, including sending thank-you letters, making gratitude calls, and executing other appreciation initiatives.

Assist development and marketing teams with campaigns, mailings, and special projects as needed.

Provide general administrative support to director-level staff.

Demonstrate reliability, consistency, and a commitment to excellence.

Adapt to changing priorities while maintaining focus and attention to detail.

Maintain absolute confidentiality and handle sensitive donor and organizational information with discretion.

Treat all animals humanely, properly, and with compassion at all times, regardless of the situation or circumstance.

Fill in for other areas and perform other tasks/functions as needed.

Work independently with minimal supervision after training is complete.

Qualifications:

3+ years of administrative experience.

Strong organizational skills with the ability to project manage several projects at any given time.

Excellent interpersonal, communication, and time management skills are essential.

Ability to collaborate between multiple departments with professionalism and clarity.

Bilingual skills are a plus.

Ability and initiative, working with minimal supervision and direction after training is complete.

Maturity and excellent judgment.

Proficient computer skills required, including MS Office, MS Excel, and Google G Suite.

Ability to read, write, and understand English is required.

Must be at least 18 years of age.

Physical Requirements:

Physical ability to walk and or stand on your feet throughout a normal workday required. Ability to bend and squat.

Physical ability to engage in repetitive motions of legs, arms, and hands and to hear and see clearly.

Physical ability to push up to 150lbs and to carry up to 50lbs regularly and independently throughout a regular workday required.

Allergic conditions, which may be aggravated when handling or working with animals, may be a disqualification.

Working conditions:

Conditions may include working alone, working inside or outside during varying weather conditions, frequent interruptions, and some evenings/weekends meetings and classes.

Educational Requirements:

High school graduation required.
