Corrections Specialist 1 (CS1) - Roster Program Coordinator Olympic Corrections Center (OCC)

Olympic Corrections Center is a 271-bed male facility located near the Hoh Rainforest. This facility houses minimum security incarcerated individuals and offers Treatment, Work and Vocational Programs to help ready incarcerated individuals to transition back into the community. OCC also has outside work crews to serve the community as well as fire crews that work alongside Department of Natural Resource employees.

Duties

This position manages the facility’s Custody Roster Management (CRM) Program. Duties include but are not limited to:

Manages, and has approval authority for, the annual vacation scheduling process and subsequent submittals for prescheduled leave, while staying within the relief factors dictated in the Custody Post Audit (CPA) summary and ensuring compliance with the CRM policy and CBA.

Facilitates and implements custody staff position assignments.

Coordinates with the agency’s Prisons Staffing Manager and facility management on staffing updates due to expansions, closures and changes in security level.

Ensures authorized custody posts and staffing levels, to include relief, are in accordance with the facility’s CPA.

Works collaboratively with diverse groups of management and staff from various agency departments, including Human Resources (HR), Labor Relations, Payroll and Timekeeping, and Training to ensure program compliance.

Provides detailed information to facility management in matters regarding staffing needs, vacancies, leave usage and overtime.

Manages the assignment and schedule change notification process, ensuring proper notification is received by all stakeholders to include the employee, HR and Payroll. Ensures the notification timeframe set forth in CBA is met.

Ensures utilization of relief employees in accordance with the CRM policy and Teamsters agreements.

Manages ATLAS database information in regard to position numbers and posts; employees’ permanent, temporary, and relief assignments; work schedules; scheduled and unscheduled leave; overtime; vacancies; and non-funded post staffing, ensuring accurate and up-to-date information is entered and maintained.

Enters all prescheduled shift activity, to include employee leave, training, vacancies, extra posts, relief and on-call usage.

Review and process leave slips and overtime requests to ensure they match what is recorded in ATLAS then forward on to the Business Office once approved.

Meets with employees as needed to discuss issues and staffing impacts as related to roster management due to assignments, leave and overtime.

Attends and participates in statewide Roster Manager meetings as required.

Qualifications

REQUIRED:

High School Diploma or GED

AND

Two years of experience or more utilizing a computerized staff scheduling system to schedule multiple staff for a 24/7 workforce with mandatory staffing levels,

OR

Three (3) years of progressively responsible experience in office/clerical, secretarial, or general or broad-based administrative experience in a corrections environment.

***Formal education and/or training in office or secretarial occupations will substitute, year for year, for the required experience.

Proficient/Skilled in the use of Microsoft Office (Excel, Word, Access and Outlook).

PREFERRED/DESIRED:

Bachelor's degree and three years of professional correctional or administrative experience - additional qualifying experience may substitute, year for year, for education.

Two years of experience or more utilizing the ATLAS scheduling database.

Experience with the Teamsters Local 117 Collective Bargaining Agreement and interpreting multiple policies and directives.

Ability to make independent decisions using good judgment.

Ability to multi-task and prioritize.

Excellent written and verbal communication skills.
