This is an in-person position, integral to our firm's operations. Candidates must have no less than one year of recent experience with Family Law Discovery processes. This multifaceted role demands a highly organized and meticulous individual capable of effectively managing a fast-paced, demanding workload. You will contribute significantly to our office's critical functions, thriving in an environment with high professional standards while consistently maintaining accuracy and attention to detail.

As our Litigation and Operations Assistant, you will provide essential support across our litigation, audit, and tax departments. You will play a crucial role in managing significant discovery workloads for family law and commercial law cases, ensuring every detail is meticulously handled.

Key Responsibilities:

• Managing and organizing critical legal, audit, and tax documents firm-wide, including e-discovery processes (data collection, processing, review, and production).

• Handling comprehensive family and commercial law discovery, including drafting and tracking engagement letters, tracking case deadlines, and assisting with the preparation of financial affidavits, responses to Requests for Production, Interrogatories, and Subpoenas.

• Using and updating forms prescribed in the Florida Rules of Civil Procedure.

• Performing detailed analysis of personal and corporate financial documents, including data entry and support for forensic accounting.

• Acting as a primary point of contact for clients, coordinating meetings, Zoom calls, and telephone conferences, and managing various calendars, correspondence, invoices, and client payments with a friendly and professional demeanor.

• Managing physical files, including trial binders and related support.

• Providing crucial firm-wide administrative support, including coordinating with vendors, managing office equipment and supplies, overseeing kitchen needs, planning firm lunches and team-building activities, processing daily mail and bank deposits, and assisting with periodical billing.

• Ensuring the firm is ready for business daily, with the lobby, kitchen, conference rooms, and common areas.

• Supporting the audit department by processing financial statements with precision and assisting the firm administrator with processing and assembling tax returns.

• Maintain accurate records of time.

• Handle occasional firm errands efficiently.

• Other tasks as needed.

Requirements:

• Minimum 1 year of direct experience with Family Law Discovery processes (Mandatory Disclosures, Financial Affidavits, RFPs, Interrogatories, Subpoenas).

• Proven experience preparing exhibits for depositions, hearings, and trials.

• Solid working knowledge of personal and corporate financial documents and the ability to analyze and interpret data for discovery purposes.

• Proficiency in Microsoft Excel (advanced skills preferred), Microsoft Office, QuickBooks, and Quicken.

• Ability to efficiently manage multiple calendars, tasks, and deadlines.

• Possesses confidence, proactivity, and strong organizational skills, coupled with robust learning agility and eagerness to expand skill sets.

• Excellent communication skills with a proven ability to connect professionally with clients, attorneys, vendors, and colleagues.

• Possess empathy and understanding when interacting with clients in sensitive legal situations.

• Exhibits meticulous attention to detail, strong problem-solving abilities, adaptability, and resilience, thriving in high-pressure environments while contributing to a team-oriented culture.

• Ability to work both independently and collaboratively in group settings.

• Florida Notary preferred. No certifications are required.

• Ability to meet or exceed the firm’s required minimum billable hours target.

• Ability to work increased hours (minimum 50 hours per week) and occasional Saturdays in the office during our busy season (February through April 15th, or the annual IRS tax deadline).

Compensation Range:

$55,000 – $65,000 annually, commensurate with experience.
