Front Office Receptionist

Position Summary The Front Office Receptionist is a key member of the Academic Operations and Support Team, responsible for ensuring the smooth and efficient operation of the school’s front office. As the primary point of contact for the main lobby, the Receptionist supports students, parents, faculty, staff, and visitors with professionalism and care, providing a welcoming presence both in person and by phone. This role requires a high level of confidentiality, excellent organizational skills, attention to detail, and the ability to multitask and prioritize effectively.
In addition to managing reception duties, the Receptionist provides daily administrative and clerical support to faculty and staff while maintaining a professional and well-organized front office environment. The position collaborates closely with other members of the Academic Operations and Support Team to ensure timely, accurate, and coordinated completion of a variety of school-wide tasks and projects.
Essential Duties and Responsibilities (include, but are not limited to, the following):
Serves as an integral member of the Academic Operations and Support Team by managing front office operations, overseeing staff lunch programs, maintaining school-wide attendance records, and supporting registrar office tasks.
Receives and screens phone calls and visitors, directing inquiries, guests, mail, and paperwork to the appropriate individuals.
Maintains the front office, reception area, staff kitchen, and staff mailboxes to ensure these spaces remain clean, functional, and welcoming.
Orders and manages the inventory of office and kitchen supplies, while staying within budget.
Assists in coordinating the monthly faculty/staff lunch menu with catering vendors.
Manages transportation logistics for faculty and staff, including scheduling use of school vehicles through the FMX system.
Provides administrative support to school administrators, including calendar coordination, appointment scheduling, and general daily tasks.
Supports school emergency management procedures, with a focus on accurate student attendance and coordination with teachers.
Assists with data entry and record management in Veracross and Magnus systems, including form reviews and uploads.
Collaborates with the Academic Operations and Support Team in organizing and coordinating school academic events, such as Back-to-School Night, Student Conferences, and Commencements.
Performs other duties as assigned.Qualifications (minimum requirements)
High school diploma or equivalent required; associate or bachelor’s degree preferred.
Minimum of 2 years of front office, administrative, or customer service experience; school environment experience is a plus.
Excellent organizational, multitasking, and time management skills.
Strong verbal and written communication abilities with a high level of professionalism and discretion.
Proficiency with Microsoft Office Suite, Google Workspace, and the ability to learn school-specific software (such as Veracross or Magnus).
Friendly, welcoming demeanor with the ability to maintain a positive attitude in a fast-paced setting.Pay range: $22.00 - $25.00 per hour.
