We are looking for a Scheduling Coordinator with our Home Care Team to coordinate care for associates to assist our residents with companionship and care while establishing meaningful and lasting relationships with those who call Friendship Village home!

The Scheduling Coordinator is responsible for the efficient scheduling of caregivers to meet client care needs in a timely and cost-effective manner. This role plays a vital part in ensuring continuity of care, client satisfaction, and caregiver retention by maintaining positive relationships with clients, families, and Home Care associates.

Essential Duties and Responsibilities.

Coordinate and maintain daily, weekly, monthly schedules for private duty care partners and professional nurses based on client needs and associate availability.

Respond promptly to scheduling requests, changes, and emergency needs, ensuring seamless continuity of care.

Communicate schedule assignments and variances clearly to care partners, professional nurses and clients.

Maintain up-to-date records in the scheduling software.

Ensure all shifts are staffed in accordance with client service agreements and service plans.

Develop and maintain strong relationships with care partners, clients, and families.

Monitors overtime closely with the goal of avoiding overtime.

Daily review of resident schedules, reconciling that all shifts have been completed and no services have been missed.

Completes prior day review of time clock punches against the staff schedules. Monitors attendance; follows up on associate no-shows, tardiness, or shift refusals.

Facilitates and reconciles payroll reporting in close collaboration with payroll specialist.

Plans, conducts and evaluates organized orientation and training programs for all newly hired associates.

Assists in planning and coordination of annual skills proficiency checkoff and monthly training program calendar in collaboration with other department team members and organizational resources.

Provide department specific orientation to direct care staff including completion of the clinical skills orientation checklist.

Support HR and clinical teams in ensuring caregiver credentials and certifications are up to date.

Participate in conducting interviews for Home Care Service positions and communicate and coordinate with Human Resources regarding interviews and new hires.

Complete monthly supply inventory and weekly ordering of supplies.

Participates in Flex Coverage Program Rotation for afterhours scheduling emergencies.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Experience as a scheduler preferably in the Home Care field.

Supervisory and/ or managerial experience in healthcare preferred.

Must have good multi-tasking skills, be detail oriented and be a team player.

Ability to understand, follow and support established policies and procedures of the facility; ability to recognize emergency situations and respond appropriately; ability to plan, organize and prioritize assignments efficiently; ability to work effectively with minimum supervision; ability to adapt teaching to the situation and diversity of learners.

Must be able to possess the ability to deal tactfully with personnel, residents, family members, visitors, vendors, and the general public.

Must have problem solving skills. Must be able to make independent decisions concerning above job duties.

Computer literacy encouraged. Strong interpersonal and communication skills. Teaching skills required. Understanding and empathy of the uniqueness of the needs of the elderly required.
