Office Manager / Project Coordinator – Commercial HVAC Company
An established commercial HVAC company is seeking a reliable and detail-oriented Office Manager / Project Coordinator to join our team. This is a key position in a small office environment, ideal for someone who is self-motivated, organized, and capable of working independently.
Key Responsibilities:
Supervise and dispatch a small team of service and installation technicians
Prepare bids and estimates for commercial HVAC projects
Research parts, equipment, and pricing to support project planning and procurement
Manage daily office operations and administrative tasks
Use accounting software (QuickBooks or similar) for invoicing and financial tracking
Provide project coordination support, ensuring schedules and deadlines are met
Communicate with vendors, clients, and team members effectively
Wear multiple hats and adapt quickly to changing needs
Requirements:
Prior experience in HVAC or construction industry highly desirable
Proficiency with QuickBooks or other accounting software
Strong organizational and multitasking abilities
Must be dependable, self-motivated, and able to work independently
Comfortable working in a small office environment
Excellent written and verbal communication skills
Detail-oriented with a strong sense of follow-through
