OVERVIEW OF THE POSITION:

As the Front Office Administrator, Main Campus, this individual will be the first interaction that existing parents, prospective parents, community members and everyone who enters our doors or calls our phone has with St. Benedict’s. The Front Office Administrator is responsible for managing the front desk and waiting area within the St. Benedict’s business office in a safety conscious manner. As well, serves in a role of supporting various operational functions from procurement to IT to assisting in numerous process functions. This role demands a professional with a passion for our mission and the ability to play an integral role in keeping the school operating in an organized and professional appearance. Providing clear and accurate communication, as well as ensuring a secure and welcoming environment, is key. Supports the Office Manager and COO in areas needed for school efficiency.

RESPONSIBILITIES:

RECEPTIONIST DUTIES:

Greeting parents, students, faculty/staff, and other campus visitors with a pleasant and welcoming presence.

Answers the main St. Benedict's Episcopal School and Church phone lines during business hours and triages calls.

Ensuring security by requiring visitor sign-in and badge / name tag adherence and necessary screening; communicating with the Hive about student late arrivals/early checkouts and any other known visitors to expect; Monitoring the security cameras for main campus, blacktop, and hive.

Check ID of each individual checking out a student.

Assist with students/parents with late check-in and early check-outs.

Utilize FACTS for obtaining student, faculty, and staff information as needed.

Directing questions and people to the correct places.

Assisting people who need to get items or information to students and employees of the school and directing church inquiries to the proper channels.

Being able to answer basic questions about the school and related activities.

Keep in close contact with the Front Office Administrator on South Campus for continuity of procedures between the campuses as required.

Ensure that the front desk reception area is always organized and professional in appearance.

Have a kind and calming presence with students and teachers who are waiting for or looking for senior leadership or school nurse for assistance.

ADMINISTRATIVE DUTIES:

Assist with the booking of space on Main Campus and ensuring all events, meetings and space reservations are updated and reflected on the shared church and school facility calendars and the campus events calendar, as needed.

Work closely with the Office Manger on campus events details ensuring parking is secured, equipment is ready, if needed, and appropriate space is available, with all details accounted for.

Assist, as needed, with faculty meal set up.

Assisting in maintaining the conference room is clean and presentable for meetings.

Assist Office Manager and COO with keeping emergency processes updated, distributed, and posted properly.

Assist Office Manager with procurement orders, as time allows, by ensuring approvals are received and orders are placed and tracked.

Assist faculty and staff as needed, including managing the emergency lunch needs.

Support the COO with areas of IT administration such as monitoring zoom accounts and storage, managing walkie talkie inventory and repairs, Chromebook repairs, and IT inventory maintenance,

Acceptance and distribution of daily mail and packages.

Maintenance of lost and found closet.

Assist with traffic into the administration offices.

Perform other clerical work as required, including but not limited to creating and updating data, photocopying and filing, assisting in inventorying of equipment and items.

Must maintain confidentiality of student and school matters.

Complying with conditions as stated in employee agreement and handbook.

QUALIFICATIONS:

Bachelor’s degree, preferred

1-3 years’ experience as a Front Office Administrator required, in a school environment preferred. Like experience in operations, receptionist, organizational focused jobs.

Organization, time management, and detail-oriented

Enjoys working with people and being a problem solver.

Ability to balance multiple priorities in a complex environment and remain flexible.

Extreme tact and discretion, attention to detail, and a commitment to excellence.

Being a strong communicator, and understanding the nuances of workplace politics, people, and business is a must.

Ability to remain calm and diffuse difficult situations.

Strong in all Office Suite programs and ability to learn new systems. Fluency in Outlook, Word, and Excel is a must. Familiarity with Adobe, Google programs, database software, and social media a plus.

Extremely discrete and trustworthy. Maintains confidence and protects operations by keeping student and school information confidential.

Excellent verbal and written skills, as well as verbal communication and presentation skills

Ability to work with individuals from diverse backgrounds

Must work well individually and as part of a small team

Ability to lift up to 25 pounds.

This position will start July 28th for training to be ready for the start of the school year in August. M-F, 7:30am - 4pm. Lunch breaks to total 40 hours per week.
