We are actively recruiting for a Client Associate for a leading financial consulting firm to join their service-driven team on a temporary basis. About the Role:
As the Client Relationship Associate, your primary responsibility is to deliver exceptional service to clients-both over the phone and in person. You will serve as the first point of contact for client inquiries, ensure service needs are handled promptly, and collaborate with internal team members to resolve more complex issues. You'll also assist with administrative and operational support to help the office run smoothly, including greeting guests, managing supplies, and coordinating with the building as needed.
This role requires a mature, detail-oriented professional with strong organizational skills, a proactive attitude, and a passion for helping others. A background in the financial services industry is highly preferred.
Key Responsibilities:
Provide high-level client service by managing and tracking service requests, resolving issues, and following up as needed
Maintain and update client records in CRM and internal systems
Assist clients with completing forms and retrieving documents (e.g., tax forms, RMDs, transfers, statements)
Monitor and coordinate timely processing of distributions, funding requests, and account changes
Prepare meeting materials and assist with general correspondence and scheduling
Maintain the front office: welcome visitors, manage mail, track office supplies, and keep meeting spaces professional and organized
Communicate with custodians, vendors, and building staff as needed to support smooth daily operations
Watch for signs of potential financial scams and report suspicious activity as appropriate
Ensure sensitive documents are securely destroyed according to schedule
Qualifications:
2+ years of experience in an administrative or client service role (preferably in financial services)
Excellent communication and interpersonal skills
Strong attention to detail and ability to multitask
Proficient in Microsoft Office (Word, Excel, Outlook, Teams); CRM experience required (Salesforce a plus)
High school diploma required; college education preferred
Must pass a background check
Location: Pasadena, CA
Schedule: Monday - Friday, 8:00AM - 5:00PM
Pay Range: $23-$27/hour (based on experience)
Employment Type: Temporary (MAT Coverage - 4 to 6 months)
