Detailed Job Description:

The Administrative Assistant 2 plays a key role in ensuring a positive, efficient experience for all visitors to the Fisher Undergraduate Programs Office (UGP) by overseeing the front-line reception and information desk operations. This position is responsible for delivering exceptional customer service to students, faculty, staff, and other guests, and for managing a team of student employees who serve as front-line representatives.

Key Responsibilities:

Front desk management which includes serving as the primary point of contact for the Undergraduate Programs Office, while overseeing daily operations of the reception and information desk in coordination with other operations staff to ensure seamless customer service delivery; Customer Service focused on providing accurate information, direction, and assistance to all visitors via phone, email, and in person as well as triaging inquiries and referring complex questions or issues to appropriate staff members; Managing student employees which includes: Hiring, training, supervising, and evaluating student employees working at the reception desk. Position will also develop and manage the student staffing schedule, ensuring adequate front-desk coverage and high-quality service; Appointment System Coordination which is managing the online appointment scheduling system for Undergraduate Academic Advising and ensuring the system is updated and functioning effectively to support student access to advising services; Project oversight that involves leading or assisting with special projects and initiatives as assigned by the Undergraduate Programs leadership. Will also coordinate logistics, track progress, and ensure timely completion of project goals; Additionally, this role provides administrative support to all Undergraduate Program staff and maintains physical student academic records and generates reports as requested.

Position will have the opportunity to work remotely but will be required to work in office 2-3 days per week as determined with supervisor.

Minimum Education Required: Per Classified Civil Service Specifications: High School diploma or GED. 1 year of relevant experience required. 2-4 years of relevant experience preferred.

Desired Education: Bachelor’s degree or an equivalent combination of education & experience

Required Qualifications: Per CCS guidelines: proficient in Microsoft Office Suite; interpersonal skills; organizational skills; customer service skills; experience working on a team; self-motivated

Desired Qualifications:

Excellent verbal and written communication skills, data entry and word processing skills; Strong commitment to student-focused customer service; Experience training and managing student employees; Experience with computer productivity software, University Student Information System (SIS), and Workday; Experience in an administrative support role in an educational setting; Ability to work independently and be comfortable communicating with all levels within UGP

Additional Information:

Target Hiring Range:

The target hiring range for this job profile is $18.17 - $23.90 hourly. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
