Job Overview:

The Practice Manager / Front Office Manager ensures the smooth operation of our practice by managing appointment schedules, supporting treatment planning, and serving as a liaison between patients and staff. This position is ideal for someone organized, proactive, and passionate about delivering excellent patient care.

Key Responsibilities:

Manage and coordinate daily and long-term appointment schedules for all providers, maximizing clinical efficiency and resource utilization.

Confirm, reschedule, and follow up on patient appointments via phone, email, and text, maintaining accuracy and professionalism.

Monitor and adjust schedules in real-time to accommodate emergencies, cancellations, and provider changes.

Collaborate with clinical and administrative staff to align scheduling with treatment plans, provider preferences, and patient needs.

Maintain and update patient records with scheduling information, ensuring all documentation is complete before appointments.

Serve as the primary liaison between patients, providers, and staff regarding scheduling matters, addressing inquiries, and resolving conflicts promptly.

Coordinate with the treatment planning team to schedule complex and multi-visit cases appropriately and efficiently.

Track and manage recall and follow-up appointments to support ongoing patient care and retention.

Support new patient onboarding by scheduling initial consultations and ensuring all pre-appointment requirements are met.

Generate and analyze scheduling reports to identify trends, bottlenecks, and opportunities for process improvement.

Participate in staff meetings and planning sessions to communicate scheduling updates and contribute to operational strategies.

Qualifications:

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

5+ years’ experience in scheduling, planning, or administrative roles (dental/medical office preferred).

Dentrix proficiency required.

Excellent communication and interpersonal skills.

Strong organizational skills and attention to detail.

Proficiency with Microsoft Office Suite.

Ability to multitask and adapt to changing priorities.
