POSITION TITLE: Core Data Specialist

STATUS: 260-Day; Non-Exempt

PAY CATEGORY: IT 3

REPORTS TO: Director of Data and Student Information

POSITION SUMMARY: This position plays a critical role in managing, organizing, and analyzing essential data within the school district under the direction of the Director of Data and Student Information. The Core Data Specialist collaborates with various stakeholders to support data-driven decision-making processes and regulatory compliances. This position involves collecting, maintaining, and ensuring the accuracy and integrity of core data related to students, staff, and academic programs. This position is responsible for correlating, analyzing, and validating district and employee data prior to submitting it to state, federal, and outside agencies. Additionally, this position will research and resolve inconsistencies that develop in state, federal, and local reporting.

ESSENTIAL FUNCTIONS:

Data Collection, Entry and Corrections:

Assist the Director of Data and Student Information with data appeals and corrections for local, state, and federal reporting.

Collect and input core data into the designated databases/systems accurately and in a timely manner (meeting the MSIP requirements for data submissions)

Ensure completeness and accuracy of student and staff demographic information, academic records, and other relevant data while maintaining high standards of data integrity.

Collect, analyze, and enter critical data pertaining to students, faculty, curriculum, and administrative operations into designed databases with precision and timeliness.

Gather, evaluate, and submit district Core Data according to Missouri Department of Elementary and Secondary Education (DESE) cycle requirements and deadlines in the Core Data Manual including but not limited to: PK-12 submissions of Core Data and MOSIS Data Collection Cycles for August, October, December, February, April, and June.

Assists DESE with questions on LEA data submissions.

Validate new data and provide appropriate school personnel with reports of deficiencies in flagged data fields.

Work closely with the Director of Data and Student Information on MOSIS Assessment Pre-Code submission

Audit and analyze issues of inappropriate certifications on the DESE Staff Assignment Report for the school year and summer school programs. Work closely with the Director of Data and Student Information and Human Resources. Research, resolve, or suggest possible solutions where needed.

Data Maintenance and Quality Assurance:

Regularly review and update existing data to maintain accuracy and integrity with the Director of Data and Student Information.

Conduct data quality checks to identify and rectify inconsistencies, errors, or duplications.

Monitors DESE state course code numbers and correlation to Fox C6 courses working closely with the Director of Data and Student Information and Chief of Teaching and Learning.

Serves on data review teams.

Adheres to protocols and procedures to ensure data security and confidentiality.

Collaborate with relevant departments to rectify data discrepancies and ensure alignment with established standards and regulations set by LEA, DESE, and federal requirements.

Provide administrative support for the student information system (SIS) by identifying current and potential issues in the SIS by researching, developing solutions, educating SIS staff, validating outcomes, and providing feedback.

Reporting and Analysis:

Generate regular reports on student enrollment, attendance, academic performance, and other key metrics as required.

Assists the Director of Data and Student Information in analyzing data trends and patterns to identify insights and inform decision-making processes.

Collaborate with stakeholders and SIS administrator to develop customized reports and analyses to meet specific informational needs.

Utilize data visualization tools (such as Educlimber) and techniques to present insights in a clear, concise, and actionable manner.

Collect the data for the CRDC and work with the Director of Data and Student Information for the final submission

Work with the Chief of Teaching and Learning on the submission of the Fox C6 curriculum and learning reports to DESE.

Work with the Director of Data and Student Information to identify opportunities for leveraging data insights to drive strategic initiatives and improve educational outcomes.

Compliance and Regulatory Requirements:

Ensure compliance with local, state, and federal regulations regarding data collection, reporting, privacy (e.g., FERPA), and best practices to safeguard sensitive data.

Assist in the preparation of reports and documentation for regulatory filings, audits, compliance reports, and reviews.

Works closely with the Director of Data and Student Information to ensure compliance.

Compile and maintain Fox C6 Academic Calendar data for DESE meeting state requirements.

Collaborate with the Director of Federal Programs to complete the Title core data MOSIS coding.

Gather and submit Fox C6 data for various local, state, and federal compliance reports.

Training and Support:

Provide training and support to school staff on data collection procedures, software applications, and best practices.

Serve as a resource and provide information as requested for administration and staff inquiries related to core data management and reporting.

Maintains and develops professional skills through ongoing training and career development, including but not limited to self-study, classroom training, and attending industry webinars/seminars/workshops.

Ability to act independently in researching and resolving software problems in a multi-server enterprise environment alongside the Director of Technology.

Provide ongoing support and guidance to end-users to enhance data literacy and utilization across the district.

Assists the Director of Data and Student Information with a variety of trainings and workshops.

System Administration:

Assist in the administration and maintenance of data management systems, including troubleshooting technical issues and coordinating system upgrades.

Together with the Director of Data and Student Information and the SIS Administrator, verify the accuracy of current data in the SIS and SIS Fin fields.

Collaboration and Communication:

Collaborate with district administrators, school principals, teachers, and other stakeholders to ensure data needs are met effectively.

Communicate effectively with internal and external stakeholders regarding data-related initiatives, updates, and requirements.

Ability to communicate effectively orally and in writing.

Performs other duties as assigned by the Director of Data and Student Information, members of cabinet, or Superintendent of school.

Perform other duties as assigned.

BASIC REQUIREMENTS:

High School diploma with college-level coursework in computer applications or a combination of advanced training and experience with computers in a work setting.

Proficiency in data management software, databases, Microsoft Office Suite (e.g., Excel, Access) and/or Google Suite.

Strong attention to detail and accuracy in data entry and analysis.

Familiarity with educational data systems (e.g., student information systems) is preferred.

Knowledge of data privacy regulations (e.g., FERPA) and experience in maintaining data security and confidentiality.

Excellent communication and interpersonal skills.

Ability to work collaboratively in a team environment and independently with minimal supervision.

Ability to complete tasks independently without close supervision.

Deadline and detail-oriented and has the ability to produce high-quality, error-free work products.

Prior experience in a school district or educational setting is preferred.

Prior experience in DESE applications menu and state reporting is strongly preferred.

WORK ENVIRONMENT:

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone/email and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, and repetitive motions. Requires ability to sit and stand for long periods to complete work. Requires ability to handle multiple tasks with frequent interruptions and ability to work in noisy, stressful, and crowded environments.
