Department: Senior and Adult Services Anticipated Work Schedule: Monday through Friday, 8:30 am to 4:30 pm Reports To: Supervisor, Scheduling Full Time or Part Time: Full Time Regular or Temporary: Regular Bargaining Unit: Non-Bargaining Classified or Unclassified: Classified FLSA: Exempt Summary The Division of Senior and Adult Services (DSAS) empowers seniors (ages 60+) and disabled adults to age successfully by providing resources and support that preserve their independence.

DSAS strives to keep seniors safe, supported, and independent, so they can live their best lives.

This position schedules and monitors in-home services provided by home health aides.

A good candidate for this role is comfortable using computer software, communicates effectively by phone, and builds good relationships with clients and staff.

It is helpful but not required to have prior experience in a related role (e.g.

medical receptionist/scheduler or patient services representative). Essential Job Functions * Assigns and monitors services provided by home health aides; schedules initial phone assessments; assigns initial home visits according to geographical area; notifies home health aides of service schedule changes or cancellations; updates the roster of employees; updates employee work schedules and availability; reviews and maintains accuracy of scheduling calendar; receives client complaints and informs responsible parties.

* Prepares and maintains all necessary data and forms; enters data into databases and spreadsheets; keeps records of various documents like fax assessments or initial home assessment documents; establish new client records when needed; prepares and submits time tracker document; logs notes of conversations with customers into databases.

Minimum Requirements * High school diploma or equivalent and one (1) year of social service or clerical/administrative experience; or any equivalent combination of training and experience.

* Ability to operate a variety of software and databases including email software (MS Outlook), healthcare database software (PeerPlace, Sandata), spreadsheet software (MS Excel), teleconferencing software (MS Teams), word processing software (MS Word). Application Process This is a competitive, classified position.

The Personnel Review Commission (PRC) will check your application to make sure you meet the minimum qualifications.

If you do, the PRC will invite you to take a civil service examination.

The exam is specific to this position.

Everyone who passes the exam goes on an eligibility list.

To fill this opening, the PRC sends the hiring department and Human Resources (HR) a certified eligibility list with the top 25% candidates (or at least the ten highest scoring candidates, whichever is greater). HR helps the hiring department decide who from the certified list to follow up with for interviews and then a job offer.
