The Program Assistant supports the DVM professional program by serving as the primary point of contact within the Professional Program Support (PPS) office. They handle student and faculty inquiries, direct individuals to appropriate resources, and ensure accurate, timely communication. Key responsibilities include providing administrative support for the DVM program, coordinating the PPS office, and maintaining and verifying student records, and delivering excellent service to students, faculty, and staff.

DVM Program Administrative Support

Provides critical logistical and administrative support for DVM exam coordination, including assisting with scheduling, proctoring, and managing exams.

Oversees the assignment of student lockers and mailboxes.

Administers and maintains DVM student email listservs, including membership management and message moderation, to support effective and targeted communication across cohorts.

Assists students with obtaining CVM BuckIDs and building access, ensuring secure and seamless access to college facilities.

PPS Office Coordination

Serves as the first point of contact for the PPS office, providing a welcoming and professional environment for students, faculty, staff, and visitors.

Triages inquiries and efficiently refers students, faculty, and staff to appropriate college or university resources, ensuring timely and accurate information.

Manages the shared PPS email inbox by responding to inquiries, routing messages appropriately, and maintaining a high standard of communication and responsiveness.

Oversees general office operations, ensuring a well-organized, efficient workspace by maintaining inventory, ordering supplies, and coordinating office upkeep.

Student Record Maintenance

Maintains comprehensive records for current and graduated DVM students, ensuring data accuracy, confidentiality, and compliance with institutional and accreditation standards.

Prepares and issues official enrollment verification documents for current students and alumni, supporting licensure, employment, and academic progression.

Monitors vaccine compliance for all DVM students, proactively communicating with students and coordinating with relevant offices to ensure adherence to health and safety requirements.

Additional Information:

Previous administrative or office support experience, preferably in an academic or student services setting

Excellent written and verbal communication skills, including the ability to interact professionally with students, faculty, and staff

Strong attention to detail with the ability to manage multiple tasks, prioritize effectively, and meet deadlines

Proficient in Microsoft Office Suite and comfortable learning new software systems

Ability to handle sensitive student information with discretion and in compliance with institutional policies

Minimum Qualifications: High School diploma or GED. Certification or vocational training may be preferred. 1 year of relevant experience required. 2-4 years of relevant experience preferred.

$16.65 - $21.77 per hour; commensurate with experience, internal equity, the unit’s available budget, and the candidate’s qualifications.
