As an Executive Assistant, engage with us as you use your exceptional organizational and time management skills! Reporting to the Chief Executive Officer (CEO), you will have the responsibility to manage calendars, book travel, help provide general office support for the team, and so many more opportunities to be part of the future of Kellogg Community Credit Union!
Responsibilities:
Assist the Executive Leadership Team in monthly and annual reporting to the Board of Directors. Create and manage schedules and deadlines for timely reporting of financial information. Schedule appointments, and maintain and update CEO, Board of Director and Leadership Team calendars
Collet, organize, and administer data for various documents and reports
Prepare and edit correspondence, communications, presentations, and other documents
Attend meetings, prepare agendas, relevant materials, take detailed minutes and/or action items, and arrange meeting logistics for both onsite and offsite meetings
Performs data entry, manage expense reports, reimbursements, and invoicing as needed
Lead and/or assist in audits
Support onboarding of new team members or executives
Collaborate across departments to ensure progress and alignment
Maintain filing systems for easy access and organization
Be a strong Credit Union Ambassador inside and outside the credit union creating a welcoming culture for official family, members, and team members
Screen incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
Maintain confidentiality of highly sensitive information
Manage complex office administrative work requiring the use of independent judgment and initiative
Coordinate arrangements for travel, webinars and training for Executive Team and Board of DirectorsRequirements:
Qualifications:
Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
Flexibility and adaptability to changing priorities and deadlines
Strong knowledge of office equipment and administrative procedures
A comprehensive command of grammatical structure, sentence structure, spelling, punctuation and the ability to compose, in good form, various correspondence
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
Very strong interpersonal skills and the ability to build relationships with key stakeholders
Ability to work collaboratively and be an engaged team member
At least two years similar experience
Must have the ability to work independently and accommodate work schedule
Location and Hours of Work
This position will be based in the Battle Creek, MI area. The hours of this job are standard and related to the needs of the membership and business flow.
