In this role, you will work under the guidance of the Business Office Manager to provide outstanding customer service in a dynamic, team-centric environment. You will facilitate the sales, auction, and appraisal processes, ensuring cash management and efficient handling of paperwork related to sales, all while answering customer inquiries and managing incoming calls.

Your Key Responsibilities:

Support store personnel and various departments in their daily operations while upholding CarMax standards.

Deliver exceptional customer service by greeting clients, managing customer flow, addressing inquiries, and clarifying the paperwork processes.

Collaborate toward win/win solutions for customers and partners.

Handle documentation related to retail and wholesale automotive sales, which includes generating reports, maintaining deal jackets, liaising with finance companies, and processing required paperwork.

Manage auction sales processes, including dealer registrations and appraisals, gathering titles, and following up on payoffs and necessary documentation.

Safeguard cash management by receiving, counting, and securely managing funds, preparing deposits, and monitoring safe procedures.

Complete paperwork related to state DMV, including vehicle titles and registrations for customers post-sale.

Mentor and train new Business Office Associates, as well as provide training for other departments on office procedures.

Perform clerical tasks such as copying, filing, reconciling missing information, and data entry into systems.

Manage a multi-line phone system to address caller needs and direct calls appropriately.

Be prepared for extended periods of standing and walking.

Work varied schedules including nights, weekends, and holidays.

Qualifications:

Utilize resources to balance customer and business needs effectively.

Navigate a numeric filing system with ease.

Display intermediate proficiency in word processing, spreadsheets, and other software applications.

Prioritize tasks and manage multiple deadlines with strong organizational and attention to detail skills.

Lift items weighing 15-20 lbs as needed.

Communicate effectively with internal and external customers, both verbally and in writing.

Complete all required training provided by CarMax.

Build partnerships with the Sales team and other departments to ensure high-quality customer service.

Maintain confidentiality regarding all records and reports related to the position.

Report Asset Protection and Human Resource concerns to management promptly.
