Position Summary:
Florida Atlantic University is seeking a Utilities Billing Administrator - Boca Raton, FL.
Facilities Management oversees and provides support for Campus Master Planning, Physical Plant, Design & Construction Services, and the Business Office. The Utilities Billing Administrator position is responsible for coordinating and facilitating all administrative duties for the Facilities Management Business Office, including, but not limited to, supervising office staff and working with the Business Manager on budget, staffing issues, and maximizing productivity given available resources.
Summary of Responsibilities:
Identify and resolve inaccuracies with financial statements, invoices, travel documents, including utilities billing.
Responsible for the coordination with the Controller’s Office, Purchasing, Finance, and other departments to accomplish the processing of utilities bills and collection, including reconciliations, outside invoicing, payment approvals, and expenditures transfer funds. Gather, analyze, and interpret external and internal utilities data and generate reports on a monthly basis or as frequently as requested by internal and external departments for all campuses.
Responsible for the monthly budget reconciliation of Smart TAGs related to utilities bills for all campuses.
Responsible for managing and making entries into database files and spreadsheets regarding utility meter readings; and identifies and resolves billing discrepancies with utility companies, including Florida Power & Light, Florida Public Utilities, City of Boca Raton, and other related utility companies, including other campuses.
Responsible for establishing departmental filing systems for billing and personnel records, and the maintenance of university records to comply with record retention regulations.
Responsible for backing up the HR Partner in maintaining employee attendance records, hiring, job posting, performing timekeeping processes for payroll, travel, and expenses.
Represent the Division of Facilities Management and serve on committees at the request of the Business Manager.
Responsible for coordinating and facilitating administrative duties for the Business Office, but not limited to supervising office staff at a level and providing advice to the Business Manager on issues related to utility costs/budget, and staffing issues.
Cross-train with other job duties within the department, to ensure that the Business Office has adequate and suitable resources to complete its activities regarding staff, materials, and equipment, to comply with the overall mission of the Business Office.
Analyzes and investigates complex issues or problems.
Perform other job-related duties as assigned.

Minimum Qualifications:Associate's degree from an accredited institution in an appropriate area of specialization and three years of experience required; or a high school diploma or equivalent and five years of appropriate experience required.
