Position Summary
This is a phone-heavy, front-line administrative position ideal for someone who thrives in a structured environment, enjoys multitasking, and is highly skilled in communication. The Office Administrator will manage all incoming calls, maintain customer records, coordinate scheduling, and handle bookkeeping tasks.
Discretion is critical in this roleyoull be working with sensitive financial, customer, and operational information daily. A high level of confidentiality, attention to detail, and professionalism is required.
Key Responsibilities
Phone Management: Handle a high volume of inbound calls and direct inquiries promptly and professionally
Customer Service: Serve as the first point of contact for homeowners and partners, ensuring excellent follow-through and communication
Administrative Tasks: Enter customer information into the CRM, maintain project schedules, and support the day-to-day needs of the team
Bookkeeping: Process invoices, manage accounts payable and receivable using QuickBooks
Scheduling: Coordinate inspections, service appointments, and internal meetings
Office Maintenance: Order and track office supplies, keep the workspace organized
Documentation: Maintain accurate records and digital filing systems with confidentiality
Team Support: Assist ownership and operations with administrative support as needed
Cross-Functional Collaboration: Communicate clearly with the field, sales, and production teamsQualifications
Prior experience in office administration, customer service, or support roles
High comfort level handling phone communication throughout the day
Proficiency in QuickBooks, Microsoft Office (especially Excel), and CRM systems
Strong organizational skills and keen attention to detail
Excellent written and verbal communication skills
Ability to handle confidential information with discretion
Self-starter who is dependable, adaptable, and team-orientedSchedule
