Job Title: Executive Assistant

Location: Washington DC (Onsite)

Employment Type: Contract (1+ Years)

Job Summary:

Mindseeker is looking for a highly organized and proactive Executive Assistant to support senior leadership in for a prestigious government institution. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities with discretion and efficiency. This role requires expertise in scheduling and calendar management, creating high-quality presentations, and serving as a key point of contact for executive communications.

Key Responsibilities:

Manage and maintain complex executive calendars, including scheduling meetings, appointments, and travel arrangements.

Act as a liaison between executives and internal/external stakeholders, demonstrating excellent verbal and written communication at all levels.

Prepare, edit, and format professional presentations, reports, and other documentation using tools such as PowerPoint, Word, and Excel.

Coordinate logistics for meetings, including preparing agendas, taking minutes, and following up on action items.

Handle confidential information with a high degree of professionalism and discretion.

Anticipate executive needs and proactively address operational and administrative issues.

Support project management tasks and assist in ensuring deadlines are met.

Organize and maintain files, records, and office systems for efficiency and ease of access.

Qualifications:

Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.

Excellent written and verbal communication skills.

Strong proficiency in Microsoft Office Suite, especially PowerPoint, Outlook, and Excel.

Demonstrated ability to manage a professional calendar with attention to detail and changing priorities.

Ability to create polished and engaging presentations tailored to diverse audiences.

Exceptional organizational and time management skills.

High level of discretion and integrity in handling sensitive information.

Self-motivated, with a proactive and collaborative mindset.

Preferred Qualifications:

Experience supporting C-suite executives or senior-level government officials.

Familiarity with virtual meeting platforms (e.g., Zoom, Teams).

Bachelor's degree or equivalent professional experience.
