Description

The Program Manager oversees the daily administrative work of the PA program, supporting both academic and clinical operations. This position is responsible for handling program data, assist with accreditation and reporting, support curriculum and admissions, and help keep the program running smoothly. Strong organization, attention to detail, and clear communication are essential. Experience with web-based data systems is a plus.

Job Duties

Clinical Operations:

Assist the clinical education faculty in implementing procedures and systems for ensuring compliance with clinical requirements for each clinical program, processes clinical paperwork, student records, clinical schedules, and correspondence with directors and coordinators of clinical education, students, university personnel, clinical partners, and other stakeholders.

Assist the clinical education faculty in securing and maintaining clinical affiliation agreements, ensuring that clinical affiliation databases are accurate and up to date, and clinical affiliation agreements are executed in a timely manner.

Assist clinical education faculty in reviewing new clinical contracts, track contract expiration/renewal dates, and keep requirements current

Communicate with students to gather required data and/or medical records for clinical placements.

Manage student requirements in EXXAT, or other compliance/tracking software

Communicate with EXXAT (or other compliance/tracking software) support personnel for timely and accurate clinical and student data entry

Work collaboratively with the clinical education faculty as directed by the department chair.

Assist the clinical education faculty in constructing and maintaining a clinical management system to meet assessment needs under ARC-PA standards

Construct and maintain clinical site information and site availability for student practicums as developed in EXXAT, or other compliance/tracking software

Participate in onboarding, ongoing training, and updates for EXXAT, or other compliance/tracking software

Maintain records of clinical sites for review of placement requirements

Assist clinical education faculty in communication with the clinical site student placement assignment for Clinical Practicums

Maintain an updated list of clinical site contact information and assist with follow up to clinics to ensure student placement Assessment Operations:

Support PA faculty and chair in fostering student adherence to academic and clinical requirements, policies, and procedures

Assist in the development and implementation of student support services, such as tutoring, mentoring, and career advising.

Assist Director of Graduate Admissions and Student Services with student admissions processes including but not limited to, new student orientation, open houses and admission visits

Oversee the preparation of surveys for use in clinical sites and as well as student surveys to collect information to help monitor, meet, and improve the PA program and meet ARC-PA standards

Assist with the preparation of surveys used in the collection of qualitative and quantitative research and assessment data and dissemination of information

Run data reports to monitor student improvement and community perception across the program

Organize and administer surveys to alumni year one and three post-graduation on topics that include employment, continued education, and community service.

Manage post-clinical experience surveys from students, clinical instructors, and site coordinators of clinical education

Manage post-clinical surveys on clinical education performance from students, faculty, clinical instructors, and site coordinators of clinical education

Coordinate data collection, processing, analysis of program data for program assessment and accreditation, and support generation of reports.

Collect and analyze data; help to prepare scheduled and/or special reports; maintain records and documentation, track student progress through the program for completion of requirements; coordinate information required for program operations.

Assist in developing, maintaining, and monitoring student and course assessment database for evaluating student learning and program outcomes

Perform miscellaneous job-related duties as assigned. Qualifications

Bachelor's degree in a relevant field (e.g. - Health Administration, Education, Business Administration, Behavioral Sciences, or related field). Substantial relevant experience will be considered in lieu of a degree.

Minimum of one (1) year of work experience that includes higher education, healthcare, or a relevant area.

Excellent organizational and multitasking skills.

Strong communication and interpersonal skills.

Ability to work independently and as part of a team.

Familiarity with accreditation processes and standards in Physician Assistant education.

Frequently remain in a stationary position for up to 6 hours per day.

Be able to occasionally traverse inside the office to access filing cabinets, office machinery, etc.

Occasionally lift up to 20 pounds when necessary.

Occasionally reach for items at ground level.

Frequently use keyboards and other tools requiring fine motor skills.

Ability to view monitors and other screens for extended hours.

Have clear auditory communication with/without accommodations.

Motor coordination allowing effective and accurate keyboard data entry.

Flexibility with scheduling to meet department needs, including weekends and after hours as needed. Preferred Qualifications

Proficient in Microsoft Office Suite and experience with learning management systems (LMS).

Familiarity with Physician Assistant/clinical education and clinical training requirements.
