Job Description
We are seeking an experienced and driven HOA Portfolio Manager to oversee a portfolio of homeowner associations across California. The ideal candidate will have 5+ years of proven experience managing HOA communities, including handling large-scale maintenance projects, coordinating with boards, vendors, and homeowners, and ensuring the smooth day-to-day operation of assigned properties. This position requires strong organizational, communication, and leadership skills with a proactive approach to community management.
Key Responsibilities:
Serve as the primary liaison between homeowners, board members, and vendors, responding promptly to inquiries and requests.
Draft and distribute communications including violation letters, community updates, meeting notices, and e-blasts.
Coordinate and track work orders, ensuring timely resolution and follow-up with vendors and residents.
Prepare monthly board packets, manage meeting logistics, and attend board meetings as needed.
Maintain accurate and up-to-date association records, homeowner files, and website content.
Conduct property inspections, attend vendor meetings, and oversee large maintenance or capital improvement projects.
Support community websites and ensure timely posting of community documents and notices.
Provide general administrative support including print jobs, scanning, and office-related tasks.
Mentor and support junior staff; opportunity to assist with training future managers.
Qualifications:
Minimum 5+ years of experience managing California HOA communities (Portfolio Management required).
Demonstrated success managing large maintenance or capital improvement projects.
Strong knowledge of HOA operations, CC&Rs, bylaws, and board governance.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Adobe Acrobat).
Experience with HOA Management Software (Caliber a strong plus).
Excellent written and verbal communication skills.
Highly organized, detail-oriented, and comfortable managing multiple priorities.
High school diploma required; Associate’s degree or higher preferred.
Must be able to travel locally to attend meetings, inspections, and vendor appointments.
