Project Admin Overland Park, KS
LHH is working with a client in the Midtown KCMO area, within the construction industry, who is seeking to hire a Project Admin. The Project Administrator provides essential administrative and coordination support to project teams, ensuring smooth execution of project tasks, documentation, and compliance. This role is pivotal in maintaining project momentum by managing communication, documentation, and logistical needs across multiple stakeholders.
Responsibilities:
Project Coordination & Documentation:
Create, send, and file subcontracts, service agreements, and change orders in accounting systems and project files.
Maintain accurate logs in platforms such as Procore or eBuilder, including submittals, RFIs, and OAC meeting minutes
Assist in setting up and updating project records, schedules, and compliance documentation.
Administrative Support
Support project managers with scheduling, meeting coordination, and travel arrangements
Participate in billing meetings and assist in collecting documentation from subcontractors for pay applications
Prepare and distribute meeting agendas, take minutes, and follow up on action items.
Compliance & Reporting
Track and verify certified payroll reports and prevailing wage documentation
Maintain compliance records including MWBE tracking, workforce certifications, and OSHA logs.
Coordinate with accounting and risk teams to ensure adherence to city, state, and federal requirements.
Stakeholder Communication
Serve as a liaison between project managers, subcontractors, vendors, and internal departments
Assist in obtaining bids and quotes from subcontractors and vendors.
Provide timely updates and reports to project stakeholders.
Requirements:
1–3 years of experience in an administrative or project support role, preferably in construction, logistics, or operations.
Proficiency in Microsoft Office Suite; experience with Procore, eBuilder, or similar project management tools is a plus.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills.
