Summary

The Division of Legislative Services is seeking a Program Coordinator to provide essential administrative and operational support to the Commission on Women's Health. This position ensures effective coordination of Commission meetings, studies, and stakeholder engagement activities, while assisting in the execution of the Commission's statutory duties, including legislative reporting, policy coordination, and public engagement. The Program Coordinator works closely with Commission members, legislative staff, and external agencies to enable the Commission's mission of improving women's health outcomes across the Commonwealth.

Job Duties

Coordinate Commission Operations:

Schedule and organize all Commission meetings in collaboration with the Clerks' Offices and Division staff.

Manage meeting logistics including materials preparation, virtual access, and minute taking.

Track quorum requirements, voting procedures, and attendance records.

Support Statutory Functions:

Assist the Commission in executing its duties, including facilitating hearings, stakeholder consultations, and policy evaluations.

Maintain records of study mandates, patron information, legislative authority, and staffing assignments.

Coordinate the production and submission of the annual executive summary report to the Governor and General Assembly.

Serve as a point of contact for Commission members, staff, citizen members, and collaborating agencies.

Ensure accurate and timely communication of agendas, meeting documents, and follow-up actions.

Additional Duties:

Maintain electronic and physical records related to Commission operations.

Perform other duties as assigned. Minimum Qualifications

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Meticulous attention to detail and ability to meet deadlines.

Proficiency in Microsoft Office Suite and email management.

Ability to work independently and collaborate effectively within a team.

Competence in written communication.

Ability to identify and analyze research issues and questions.

Capacity to manage multiple projects simultaneously.

Willingness to take on a variety of administrative tasks as needed.

Ability to work quickly, efficiently, and under pressure. Education and Experience

Bachelor's degree

1-2 years of experience in a staffing or policy analysis role.

Experience working in the legislative branch.

Knowledge of laws, legal codes, government regulations, executive orders, and agency rules.
