POSITION: Operations Coordinator LOCATION: Georgetown Public Schools, Central Office 51 North street Georgetown MA, 01833 SUPERVISOR: Director of Operations, Superintendent of Schools ANNUAL SALARY: Negotiable, employee contract START DATE: immediate, summer 2025 WORK YEAR: 12 Month Employee, Full-Time, 7am to 3pm Job Summary: The School District Operations Coordinator plays a vital role in ensuring the smooth and efficient day-to-day functioning of the district's operational services.

This position is responsible for managing transportation logistics, overseeing facility rentals, handling related financial administration, supporting the setup of sports and district events, and assisting with grounds maintenance, including snow removal.

The ideal candidate will be highly organized, possess excellent communication skills, and be adept at managing multiple priorities in a dynamic environment.

Key Responsibilities: Transportation Logistics: •Coordinate all aspects of district transportation needs, including daily routes, special event transportation, and athletic trips.

•Verify and optimize bus routes in collaboration with transportation providers.

•Issue bus passes to eligible students and maintain accurate ridership records.

•Serve as the primary point of contact for parents/guardians regarding transportation issues, delays, and communications, including after-hours emergencies.

•Collect and process transportation fees, ensuring accurate record-keeping.

Facilities Rental Management: •Manage the entire process for community and internal use of district facilities, from initial inquiries and applications to final bookings.

•Coordinate facility availability, ensuring no conflicts with school activities or other scheduled events.

•Ensure facilities are prepared, clean, and equipped appropriately for each rental.

•Communicate rental policies and procedures to users and ensure compliance.

Invoicing and Financial Administration: •Manage invoicing processes related to facility rentals, transportation services, and other operational services as assigned.

•Track payments, follow up on outstanding invoices, and maintain accurate financial records for these services.

•Prepare financial reports related to operational services as needed.

Sports and Event Setup Support: •Coordinate the logistical requirements for athletic games, district-wide events, meetings, and other functions.

•Ensure facilities are properly set up, including seating, equipment, signage, and any other necessary arrangements.

•Liaise with custodial staff, athletic department personnel, and other stakeholders to ensure smooth event execution.

Grounds and Maintenance Support: •Assist with coordinating and executing snow removal plans to ensure safe access to district facilities.

•Support grounds work, including tasks related to grass cutting and general upkeep of district outdoor spaces, as needed.

•May involve liaising with grounds maintenance contractors or in-house staff.

General Operations: •Maintain accurate records and documentation related to all areas of responsibility.

•Develop and implement efficient operational procedures.

•Communicate effectively with students, parents, staff, vendors, and community members.

•Perform other related duties as assigned by the[Director of Operations.

Qualifications: •Education: oAn Associate's degree in Business Administration, Logistics, Facilities Management, or a related field is preferred.

A High School Diploma or GED with significant relevant experience may be considered.

•Experience: oMinimum of 2 years of experience in operations, logistics, facilities management, or a similar role, preferably within a school district or public sector environment.

oExperience with transportation coordination and event logistics is highly desirable.

oExperience with basic financial administration and invoicing.

•Skills & Abilities: oExcellent organizational and time-management skills with the ability to manage multiple priorities and meet deadlines.

oStrong verbal and written communication skills.

oProficient in google Docs, sheets, forms, etc..

and comfortable learning new software systems (e.g., facility scheduling software, transportation routing software). oAbility to work independently and as part of a team.

oStrong problem-solving skills and attention to detail.

oAbility to handle confidential information with discretion.

oExcellent customer service skills and the ability to interact professionally with diverse stakeholders.

oAbility to remain calm and effective in emergency situations, including being on-call for after-hours transportation emergencies.

oBasic understanding of facilities maintenance and grounds care is a plus.

Working Conditions: •Primarily office-based environment, but will require movement between district facilities..

•Must be available to be on-call for after-hours transportation emergencies.

•Will be required to work outdoors in various weather conditions for snow removal and grounds work assistance.

Physical Requirements: •Ability to sit for extended periods while working at a computer.

•Ability to lift and carry items up to 50 pounds for event setup and grounds work.

•Ability to walk, stand, bend, and stoop as needed for facility inspections, event support, and grounds work.

•Manual dexterity to operate standard office equipment.

•Ability to perform tasks associated with snow removal and grounds work, which may be physically demanding.
