Job Title: High School Administrative Assistant
Location: Rush City High School

Employment Type: Full-time; Salary ranging from $18.82-26.28 based on experience and qualifications.
Position Summary:
The High School Administrative Assistant provides essential support to the school’s administration by managing student records, supporting attendance and grading processes, and ensuring smooth daily operations in the main office. The ideal candidate is detail-oriented, efficient, and approachable with excellent communication skills and a strong commitment to confidentiality and professionalism.
Primary Responsibilities:
Administrative & Office Support
Welcome and assist students, staff, families, and guests in a friendly and professional manner.
Ensure building security by monitoring entry points and managing visitor sign-in/out procedures.
Provide general administrative support and perform other duties as assigned by leadership.
Student Records & Information Management
Monitor and track daily student attendance.
Register new students and process student withdrawals.
Maintain accurate student and family profiles in the student information system.
Process transcript and records requests throughout the year.
Prepare and manage student data and documents for school year transitions.
Academic Reporting & Data Management
Verify and compile student grades at the end of each grading period.
Email report cards to families and calculate quarterly and cumulative GPAs.
Prepare and distribute year-end student transcripts.
Troubleshoot and resolve issues in Synergy student information system.
Manage scheduling setup and data input for the upcoming school year in Synergy.
State & Federal Reporting
Extract and validate MARSS/Ed-Fi reports; follow up on errors as needed.
Complete Carl Perkins year-end reporting requirements.
Submit the Minnesota Common Course Catalog (MCCC) to the Minnesota Department of Education (MDE).
Required Qualifications:
Strong computer skills and proficiency with office software (e.g., Microsoft Office, Google Workspace).
Excellent verbal and written communication skills.
Positive attitude and ability to work in a team-oriented environment.
Preferred Qualifications:
Experience using Synergy Student Information System.
Familiarity with DIRS and Carl Perkins reporting processes.
Previous experience in a school administrative or office support role.
