The College Counseling Office (CCO) at Phillips Academy is seeking an Administrative Assistant to provide comprehensive support as part of its 18-member team. In this role, you will assist college counselors, coordinate office programs and events, manage key administrative projects, and process and submit school documents to colleges. You will also serve as a point of contact for students, families, and college representatives—communicating on behalf of the office and providing hands-on support to students and their families throughout the college application process. This is an academic year position working 37.5 hours a week.

Key Responsibilities

Provide administrative support to assigned college counselor(s)

Assist students and families throughout the college application process

Enter and maintain data across multiple systems

Coordinate meetings, programs, and events involving students, families, and college representatives

Prepare, process, and submit school documents to colleges

Manage regular communication with students, families, and college admissions offices

Assist with the planning and execution of special projects and office initiatives

Qualifications

Bachelor’s degree preferred

Excellent organizational skills and attention to detail

Ability to multitask and prioritize in a fast-paced environment

Strong written and verbal communication skills

Proficiency with Microsoft Office (Outlook, Word, Excel); familiarity with database systems a plus

Ability to work independently as well as part of a team

Friendly, professional demeanor and a sincere interest in working with students and familiesWork Schedule

Hours: Monday–Friday, 8:00 AM – 4:00 PM (includes a 30-minute unpaid lunch)

Schedule: Academic year position, 37.5 hours/week

Additional Hours: Occasional evenings and weekends for special events (e.g., College Fairs, Family Weekend)
