Interviewers: Practice Manager, VP of Clinical Operations, CEO and Administrative Assistant.

Current Hours: 20-25 hours weekly to start may turn in to a full-time position, which will include benefits and PTO. This is a hybrid position, you will be asked to work at least 2-3 days a week in the office as needed.

Anew U Counseling Services is seeking an enthusiastic and detail-oriented Intake Coordinator to join our dynamic team. The ideal candidate will possess exceptional organizational skills, outstanding written and verbal communication abilities, and previous experience in a private practice setting.

Job Responsibilities:

Client Intake and Engagement: Manage the intake process for new clients, including scheduling initial appointments, collecting and organizing necessary paperwork and information, and ensuring a smooth transition into our counseling services. Communicate with clients in a professional, empathetic, and supportive manner to address their needs and concerns.

Therapist Support: Provide administrative support to our therapists by coordinating client appointments, maintaining schedules, and assisting with client inquiries. Collaborate with therapists to ensure a seamless intake and appointment management process, assisting in maintaining accurate and up-to-date client records.

Communication and Coordination: Facilitate clear and effective communication between clients and therapists, ensuring that all relevant information is accurately conveyed and documented. Coordinate with the administrative team to maintain efficient and organized workflows for client intake and scheduling.

Documentation and Record Management: Maintain comprehensive and confidential client records, ensuring accuracy, completeness, and compliance with privacy regulations. Prepare and organize intake paperwork, consent forms, and other essential documentation for client onboarding.

Hybrid Work Environment: Successfully navigate a hybrid work setting, managing both on-site and remote responsibilities effectively. Demonstrate adaptability and flexibility in coordinating intake activities and therapist support across different work environments.

Qualifications:

High school diploma or equivalent required; Bachelor's degree in a related field preferred

Previous experience in a private practice or mental health setting, with a strong understanding of intake and client management processes

Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively

Excellent written and verbal communication skills, including the ability to engage with clients in a compassionate and professional manner

Proficiency in using office software and client management systems for scheduling, record-keeping, and documentation

Ability to work independently and collaboratively in a fast-paced and client-oriented environment
