Manifest Solutions is currently seeking an onsite, part-time Docketing Specialist for a position in Columbus, OH.
Operational Responsibilities:
Management of Internal Systems: Oversee operational workflows within internal systems to ensure smooth execution of tasks.
Client Communications: Manage the client-dedicated email inbox to streamline communication pathways and reduce excess and confusing messages.
Retrieve Foreign Patent Prosecution: Anticipate and manage the retrieval of ISR and foreign prosecution documents, especially when long-term agreements with IPAus and other patent offices are unsustainable.
Billing: Coordinate with Sales Support Analysts for process optimization in billing.
Documentation of Processing: Maintain detailed documentation of all processing activities to ensure transparency and accuracy.
Cross-Training: Provide cross-training to other administrative support staff to ensure continuity and efficiency in operations.
Security of Client Confidential Matters: Ensure the security and confidentiality of client information throughout all processes and communications.
Docketing Assignments:
Case Assignment: Assign cases to Examiners based on availability and expertise.
Internal Communication: Maintain clear communication regarding execution, pipeline, and workload anticipation with respect to examiner availability.
Timeline Management: Enforce strict turnaround times and track at-risk batches to ensure timely completion of tasks.
Error Tracking: Urgently resolve cases flagged by clients for remediation.
Intake and Review
New Batch Intake: Perform formalities checks, review complete batch packages, and verify applicable subject matter for new batches.
Deliverable Review: Finalize forms, format citations, ensure completeness of deliverable packages, and provide cited art.
Deliverable Submission: Submit deliverables to clients via the appropriate transfer mechanism.
Miscellaneous Tasks
Handle additional tasks such as SFDC LEX documentation and processes.
Job Requirements:
Associates or Bachelor's Degree preferred, paralegal course work preferred
At least 2 years administrative experience
Proficient user of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
Excellent verbal and written communication skills
Organizational and planning skills; interpersonal and time management skills
Exercises discretion when handling confidential matters
