DEPARTMENT: Executive Management CLASSIFICATION: Non-Exempt EXECUTIVE ASSISTANT DUTIES AND RESPONSIBILITIES: Responsible for the upkeep and maintenance of Tribal Operations filing system.
Prepare or direct preparation of administrative documents, correspondence and policies in draft form.
Assist in covering the Reception Desk as needed.
for the Executive Director and the Deputy Executive Director.
Attend Executive Management meetings as assigned and prepare meeting minutes for the Director's Meeting.
Coordinate review of agreements, contracts and other documents that bind the tribe, for, the Executive Director and the Attorney General.
Prepare assigned weekly timesheets.
Prepare Purchase Orders and Requests for Payment.
Track expenditures and abide by the procurement process.
Assist in research and development as needed.
Log and distribute all incoming mail for the Executive Office.
Create and maintain department policies, procedures and daily work lists.
Assist Program Directors, Tribal Members and guests as needed.
Arrange travel for off-site meetings, trainings and conferences.
Prepare donation 'Thank you' cards.
Other duties as assigned.
REQUIREMENTS: Associate's Degree in Business or related field and four (4) years of administrative experience including program.
development and budgeting or an equivalent combination of education and experience.
Bachelor's Degree in Business or related field preferred.
Tribal Member Ability to professionally handle sensitive and confidential situations and information.
Must type 40 words per minute.
Exceptional attention to detail and ability to juggle multiple projects at once.
Strong verbal and written communication skills.
Strong organizational and customer relations skills.
Prefer knowledge of Tribal programs.
Demonstrated knowledge and experience in teambuilding, teamwork and customer relations.
Be knowledgeable and proficient in PC word processing, spreadsheet, Internet and email.
Must be able to pass a state and federal background investigation.
Must have a valid driver's license and be insurable.
