Job Description
We are seeking an accomplished and dynamic Executive Assistant to deliver high-level strategic and administrative support directly to the President.
This pivotal role requires a highly organized, resourceful, and proactive individual adept at navigating fast-paced environments. The successful candidate will serve as an integral extension of the executive, contributing significantly to operational management, communication strategies, project execution, and cross-functional initiatives. This position integrates traditional executive assistant responsibilities with strategic involvement, operational oversight, and executive-level representation. Candidates should possess at least 7 but ideally 10+ years of progressive experience supporting management teams in dynamic settings, coupled with exceptional judgment, discretion, and impeccable communication skills. A strong capacity for anticipating needs, embracing complex problem-solving, and driving continuous improvement is essential, alongside an unwavering commitment to professionalism and confidentiality.
Compensation: $80k - $125k DOE
Location: Sterling, VA
Schedule: Mon – Fri, standard business hours
Executive Assistant Responsibilities:
Strategic Support & Operational Efficiency
Provide end-to-end support for strategic meetings, including scheduling, agenda creation, stakeholder coordination, and post-meeting follow-up
Manage complex calendar, email, and daily schedules to align with strategic goals
Monitor and prioritize initiatives to ensure timely completion of key objectives
Fill workflow gaps by identifying inefficiencies and implementing streamlined processes
Support organizational communication initiatives
Administrative Support
Coordinate all aspects of executive travel, including booking, logistics, and itinerary management
Organize digital files for optimized access and efficiency
Oversee visitor logistics and management
Plan, execute, or delegate internal events
Supervise Operations Administrator and office admin functions
Project & Information Management
Track and report on project milestones, deliverables, and financial metrics
Prepare, review, and polish high-impact presentations, reports, and correspondence
Assist in financial and KPI reporting across the executive leadership team
Customer Relationship Management & Marketing Support
Support the development of systems for direct product sales
Contribute to select general and product-specific marketing initiatives
Conduct market, competitive, and stakeholder research and prepare executive briefings
Compliance and Infrastructure Support
Assist with internal auditing and compliance tasks, such as internal audit calendar maintenance and KPI tracking
Support specific security-related functions (FSO, OPSEC, InfoSec, etc.)
Act as the external contact for sensitive information
Executive Assistant Requirements:
Ability to obtain and maintain a U.S. government security clearance
Bachelor’s degree preferred
5+ years of experience supporting senior executives in a government contracting or engineering environment
Fluency in Microsoft Office Suite
Excellent communication and interpersonal skills
Executive Assistant Preferred Requirements:
Active security clearance
10+ years of experience in a closely related position
Familiarity with SharePoint or other document management systems a plus
Understanding of contract lifecycles, compliance requirements (e.g., CUI, ITAR, FAR/DFARS), and security considerations
Experience managing or mentoring administrative staff and ensuring office-wide coordination and consistency
