Primary Purpose:
The Office Manager Head Start provides administrative assistance to the Director, and providing overall support in administration, travel arrangements, recruitment, registration and coordination for the Head Start Program.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Initial TB testing as required by the Head Start performance standards prior to the first day of work
Ongoing wellness screenings as required by the Head Start Performance Standards
Experience:
Any work related experience or additional education/training resulting in acceptable proficiency levels in the above required knowledge, skills, and abilities is an acceptable substitute for the above specified education and experience requirements
Major Responsibilities and Duties:
Assists the ERSEA Clerk with planning and implementing the PISD Head Start recruitment and registration
procedure, coordinates and oversees all student transportation arrangements and provides general office support
Submits all purchasing requests, makes employee travel arrangements and submits travel reimbursement requests following PISD procedures
Tracks the Head Start Budget with assistance of the Grant Fiscal Officer; Access grant funds for POs, Direct Pays, and Employee Reimbursement. Liaison with finance in maintaining Head Start Accounts
The Office Manager is also responsible to ensure a safe and clean campus by completing work orders, tracking completion of work orders, and serving as primary contact for custodial staff
Order basic office supplies and submit requests for repair and service of Head Start office and copy ma
Submit requests for repair and service of Head Start office machines
Prepare Staff Handbook, calendars, and material for training during the first week of center operation in the fall
Maintain and distribute staff and parent calendars throughout the school year
Develop and maintain a process for scheduling and set-up of rooms for Head Start events and activities
Ensure that staff members are available to answer the Head Start phone and follow procedures to take and delivering messages, monitor the main Head Start door and utilize secure processes to provide for visitor access
Schedule new students for bus transportation, and monitor transportation policies and communication with PISD
Transportation Department
Liaison with Head Start Secretary to place print orders, organize storage of current forms, and maintain inactive student files and general forms
Support the director with basic word processing as available, and assist with application and registration of new children and families
Operate the security system for the Head Start door
Submit monthly volunteer (in kind) reports
Annually review and revise all forms for application and registration as needed
Follow all rules, regulations and policies of Plano ISD and Head Start; follow directives from supervisor
Follow attendance policy as assigned by supervisor
Perform other functions that may be assigned by the administration and/or supervisor
