Description

Performs administrative support work handling routine clerical and customer services tasks supporting recreation programming, youth sports and facility rentals. Work is performed under the general supervision of the Recreation Director or their designee.

Examples of Duties

Provides front-line customer service to families and participants in youth sports and recreation programs, including answering questions in person or over the phone, and responding to inquiries regarding schedules, registration, policies, and general program information.

Supports youth sports league operations by helping to schedule games, coordinate facility use, track team registrations, and communicate updates to coaches, volunteers, and participants.

Assists with the organization, promotion, and communication of youth sports and recreation activities, including preparing marketing materials, maintaining contact lists, and updating department websites and social media accounts with current program information.

Reconciles daily cash register transactions, prepares deposits, accounts payable/receivable, and P-cards.

Gathers, compiles, assembles, records, and transmits various department documents, including registration forms, rosters, schedules, reports, and program evaluations. Performs electronic transcription, data entry and monthly reporting. Maintains confidential databases and filing systems related to youth and community recreation programs.

Operates office equipment including computers and software to support word processing, spreadsheets, and database management; prepares reports related to program participation, feedback, and evaluation.

Creates and maintains phone scripts and promotional materials to advertise youth recreation and sports programs; assists in outreach efforts to increase program visibility and participation.

Typical Qualifications

High school diploma or GED equivalency. Supplemental course work in customer service/communication preferred.

1-3 years’ experience in an office setting, providing customer service.

Valid driver’s license in the State of Michigan

Hours of work will vary. Must be available to work outside of 8:00am – 5:00pm Monday through Friday (i.e., nights and weekends)

This work is sedentary and requires little to no exertion of force; work regularly requires sitting, bending, reaching, hand dexterity (grasping, holding, keyboarding, repetitive movements), reading, writing, eye-hand coordination, seeing (near and/or far, color, depth, field of vision), hearing, using the telephone, contact with government officials and the general public, working overtime, and working inside and alone; work is generally in a moderately noisy location (e.g. business office, light traffic).
