Summary
Under general supervision, performs a full range of technical and advanced administrative support for Fixed Route operations. Schedules and assigns operators to regular, special transit, and paratransit routes. Serves as lead for daily operations of Clever MAIOR and Clever Computer-Aided Dispatch/Automatic Vehicle Location (CAD/AVL) systems, including payroll record submission. Supports the Operations Coordinator with MAIOR software functionality.
Essential Duties
Supports, assists and serves as back-up for the Operations Coordinator in the installation of new software features or equipment connected with the Clever MAIOR, Clever CAD/ADL, ORCA and CoPilot technology suites. Provides training to Operations personnel to use and remain current with technology suites.
Conducts and/or participates in on-going and/or special projects (e.g., software implementation); conducts independent research and analysis of statistical data and prepares a variety of standard and non-standard technical documents (e.g., software use and implementation guides), requiring the interpretation and application of laws, rules, policies and regulations; attends related meetings; collects and distributes related information; monitors and responds to queries; creates and provides required reports. Helps Operations management staff develop policies and SOPs regarding use of technology.
Serves as a liaison between the department and other employees, departments and/or external entities (e.g., software/hardware vendors); maintains records, distributes materials and information, delivers services and provides appropriate follow-up.
Uses software to develop daily operator schedules ensuring routine and special transit service needs are met; contacts operators and works on schedules to cover emergent work; coordinates operator schedules and approves/denies leave requests based on the bidding process, leave time available and needs of the agency; monitors operator scheduling to minimize overtime expenditures.
Maintains operator timesheets and reporting of operator hours for payroll; coordinates with Human Resources to monitor operator absences due to extended leaves, injury and/or disability; ensures that on-the-job injuries are reported; serves as the liaison between off-duty operators and the agency to ensure paperwork is completed and returned for processing; arranges for random drug and alcohol tests.
Collects, maintains and compiles operator data for a variety of purposes including work force analysis and operator hiring; maintains operator seniority lists; prepares a variety of regular and special reports; produces memos, forms and spreadsheets; serves as the information liaison between operators and the agency; attends meetings as requested.
Provides technical and advanced support to Fixed Route operations; creates and maintains related records; prepares correspondence, memos and reports; ensures accuracy, completeness and conformance of documents with applicable laws, rules and regulations.
Provides information requiring interpretation and application of policies, procedures and regulations regarding assigned work unit, department, programs and operations.
Qualifications
High school diploma or GED and three years of technical and advanced administrative support experience in an operations environment including six months of demonstrated experience with specialized industry specific software. Must be available for weekend/overtime work and work outside regular business hours.
