Advancement Associate
12-month full-time position
This is a new position that is available immediately
Administrative clerical position that supports the Development, Marketing, & Communications programs
Primary Responsibilities:
Attend all staff team meetings and take notes for the Advancement team
Take responsibility for maintaining development office database, ensuring accurate record keeping, gift entry and timely stewardship of donors. Assist in CRM cleanup and maintenance of digital records
Assist in the preparation and execution of special events (community events, campaign meetings, Admissions open houses, etc.) including event set-up, vendor outreach and scheduling, etc.
Communicate with stakeholders and donors through emails and letters
Oversee the purchase order process, working closely with the Business Office to ensure proper payment.
Coordination and execution of school wide photo days
Proof written correspondence across myriad forms of school communication
Runner of items across campus
Take photos for school events to support marketing and communication programs
Key Skills & Qualities:
Proficiency in graphic design tools such as Canva or Adobe Creative Suite.
Photography skills.
Experience in event and portrait photography (preferred).
Excellent written and verbal communication skills.
Strong organizational skills with attention to detail and ability to multitask.
Team player with a proactive and collaborative approach.
Experience working with a CRM system for data entry and donor management (ideal).
Ability to manage vendor relationships and special event logistics.
Basic knowledge of fundraising, donor stewardship, and school advancement practices (ideal).
Well-organized and detail oriented.
Strong work ethic.
Ability to handle confidential information with discretion and professionalism.
