Key Responsibilities
Mail Services
Perform daily mail runs and handle incoming/outgoing mail (USPS, FedEx, UPS, etc.)
Log and track packages, manage pouch shipments, and maintain shipping supply inventory
Coordinate third-party messenger services and generate monthly usage reports
Print / Reprographics
Execute high-volume black-and-white and color printing, copying, and scanning
Provide finishing services including binding, stapling, and booklet creation
Conduct quality control checks for professionalism and accuracy
Maintain and restock copy rooms; perform Key Operator equipment checks
Troubleshoot equipment and escalate service needs as necessary
Support advanced scanning tasks (bookmarking, coding, indexing, endorsing)
Hospitality Services
Set up food, beverages, and supplies for meetings and events
Restock and maintain break rooms, kitchens, and pantries
Handle setup and cleanup of conference rooms
Reception Services (Backup)
Provide backup reception support: greet guests, answer calls, and issue visitor badges
Book transportation and maintain the internal phone list
Communicate emergency or building-related updates as needed
Facilities Support
Monitor and maintain office furniture and coordinate necessary repairs
Assist with signage, office inventory, and internal moves
Work with building management to address maintenance issues
Supply Services
Manage and restock general office supplies across all departments
Track inventory levels and place orders through approved vendors
Fulfill special supply requests and coordinate delivery across locations
Qualifications
High school diploma or equivalent required; some college preferred
1–2 years of experience in office services, facilities, or a related support role
Strong organizational and time management skills
Excellent communication and interpersonal abilities
Comfortable using office equipment (printers, copiers, scanners) and Microsoft Office Suite
Ability to lift up to 50 lbs and move materials or equipment as needed
Punctual, dependable, and committed to providing high-quality internal service
