Position Summary

The DME Service Coordinator manages the setup, education, and support for patients receiving Positive Airway Pressure (PAP) therapy. This includes hands-on patient interaction, equipment coordination, administrative oversight, and support for the financial performance of the DME program.

Primary Responsibilities

CPAP Setup and Education

Set up CPAP/BiLevel equipment according to provider prescription.

Facilitate CPAP education sessions for patients and caregivers:

Instruction on device usage, care, cleaning, and safety.

Education on Obstructive Sleep Apnea (OSA) and associated health risks.

Review of sleep study results and treatment expectations.

Assist with installation of mobile applications and train patients on device connectivity (e.g., modem setup).

Ensure all appropriate documentation is completed and billing contracts are signed.

Patient Support & Communication

Serve as the point of contact for all DME-related patient needs, including:

Mask fit issues, leak concerns, pressure tolerance, and device troubleshooting.

Requests for equipment adjustments or prescription updates.

Handle all phone and walk-in inquiries promptly and document in EMR.

Support timely resupply through mail or in-person assistance.

Ensure proper referral handling and continuity of care with external DME vendors when required.

Administrative, Financial & Inventory Duties

Prepare all necessary paperwork for CPAP setups, classes, and follow-ups.

Track, manage, and order PAP inventory; avoid overstocking or supply shortages.

Process monthly billing for all DME supply orders and maintain accurate tracking.

Review billing activity regularly to ensure charges are submitted correctly and on time.

Monitor supply usage, identify cost-saving opportunities, and assist with budget compliance.

Support efforts to improve departmental financial performance through operational efficiency and billing accuracy.

Assist with financial reporting related to DME services when needed.

Clinic & Team Support

Assist the front desk with walk-in patients and phone coverage.

Support physicians during clinic visits, including CPAP data downloads and compliance monitoring.

Collaborate with internal teams to ensure coordinated care and high patient satisfaction.
