You’ll ensure shipments move smoothly across borders, handling import documentation, coordinating with carriers and customs brokers, and delivering exceptional service to clients and partners. Key Responsibilities:
Process Import Documentation – Prepare, review, and organize import documents with a high degree of accuracy to ensure compliance with U.S. Customs and Partner Government Agency (PGA) regulations. Maintain proper recordkeeping and verify that all required information is complete before submission to avoid delays or penalties.
Coordinate Shipments with Precision – Communicate daily with carriers, customs brokers, and international partners to track shipments, confirm scheduling, and resolve any discrepancies. Ensure routing and delivery arrangements are precise and on time to keep shipments moving efficiently from origin to final delivery.
Manage Email Communications – Handle large volume of incoming and outgoing emails with clients, carriers, and internal teams. Respond promptly and professionally to inquiries, provide timely updates, and escalate issues as needed to maintain smooth operations and strong customer relationships.
Ensure Compliance – Adhere strictly to company policies and government regulations, including U.S. Customs, PGA, and industry standards. Assist in resolving discrepancies or delays quickly, flag compliance risks when identified, and contribute to maintaining a strong culture of regulatory responsibility within the department.
Support to Clients – Provide proactive, solutions-focused communication to clients by giving timely shipment updates, responding to inquiries, and addressing concerns with professionalism. Work to build trusted client relationships by ensuring accuracy, transparency, and responsiveness in every interaction.
Collaborate with Team Members – Partner closely with colleagues, supervisors, and other departments to share critical shipment information, resolve issues, and ensure operational efficiency. Contribute to a positive team environment by supporting others, maintaining reliability, and working together to achieve department and company goals.
Top Skills & Qualifications
Highly organized with strong attention to detail, ability to multitask, and a sense of urgency.
1–3 years of hands-on experience in freight forwarding operations preferred.
Basic understanding of import processes, U.S. Customs, and PGA requirements; knowledge of customs compliance regulations is a plus.
Proficiency in Microsoft Office and willingness to learn logistics software; experience with CargoWise or other freight forwarding systems is advantageous.
Strong numerical, verbal, and written communication skills.
Ability to work collaboratively in a team and manage multiple priorities effectively.
Work Environment:
Office-based role with standard business hours
Requires use of computers, monitors, phones, and other standard office equipment
The ability to sit or stand for extended periods; occasional lifting (up to 20 lbs) may be required
