Position Summary
The Pharmacy Shipping Clerk Supervisor oversees the daily operations of the shipping and packaging department within the pharmacy, ensuring that all outbound prescriptions, compounded medications, and related materials are prepared, packaged, and shipped in full compliance with company policies, regulatory standards, and quality requirements. This role leads the shipping team, monitors workflow efficiency, ensures adherence to safety and quality protocols, and coordinates closely with pharmacy and operations management to maintain timely, accurate deliveries to patients, facilities, and healthcare partners.Essential Duties and Responsibilities
Supervise and coordinate the daily activities of pharmacy shipping clerks, including task assignments, workload balance, and coverage across all shifts.
Monitor workflow to ensure all prescription and compounded medication shipments meet required timelines and quality standards.
Oversee packaging, labeling, and shipping of sterile and non-sterile compounded medications, ensuring compliance with USP <795>, <797>, <800>, and company SOPs.
Ensure all shipments comply with federal, state, and Board of Pharmacy regulations, as well as carrier requirements (FedEx, UPS, USPS, or couriers).
Train new and existing shipping clerks on pharmacy shipping procedures, cold-chain handling, packaging safety, and temperature-controlled requirements.
Maintain accurate shipping logs, delivery manifests, temperature control documentation, and quality check records.
Coordinate with pharmacists, technicians, and inventory staff to resolve any shipping discrepancies, missing items, or order delays.
Implement and enforce departmental policies for packaging integrity, error reduction, and handling of returned medications or damaged packages.
Monitor and maintain sufficient inventory of packaging supplies (ice packs, insulation, shipping boxes, labels, tape, etc.).
Collaborate with compliance and operations leadership to update and audit shipping procedures, ensuring continuous improvement.
Track team performance metrics (accuracy, on-time rate, packaging integrity) and provide coaching or corrective action as needed.
Ensure all staff adhere to confidentiality and HIPAA requirements in handling patient information.
Participate in departmental meetings, audits, and process improvement projects.
Serve as a working supervisor when needed, assisting with hands-on packaging, labeling, or courier coordination.Supervisory Responsibilities
Direct supervision of pharmacy shipping clerks and support personnel.
Conduct performance evaluations, assist with hiring, onboarding, and disciplinary actions in collaboration with HR and General Manager
Promote a culture of accountability, teamwork, and quality.Qualifications
Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
Experience: Minimum of 2–3 years of experience in pharmacy, logistics, or shipping operations; at least 1 year in a supervisory or lead role preferred.
Knowledge:
Understanding of pharmacy shipping processes, packaging standards, and cold-chain handling.
Familiarity with pharmacy software systems (e.g., PioneerRx) preferred.
Knowledge of USP <795>, <797>, and <800> compliance standards is highly desirable.
Skills:

Effective communication and interpersonal skills for working with diverse teams.
Proficiency in Microsoft Office and basic shipping systems (FedEx Ship Manager, UPS WorldShip, etc.).
Physical Requirements:
Ability to lift up to 40 lbs., stand for extended periods, and work in temperature-controlled shipping areas.Work Schedule
