Are you a highly organized, energetic, and experienced office professional looking to take the lead in a dynamic and caring healthcare environment? We are a dedicated chiropractic & wellness practice with a mission to provide exceptional patient care. We're looking for an experienced Office Manager to be the backbone of our operations, managing staff, driving growth, and ensuring top-tier patient service.

This is a key leadership position where you will be instrumental in the success of our practice, managing a small but dedicated team and overseeing all administrative and operational functions.

Key Responsibilities:

Leadership & Staff Management

Supervise a team (e.g., Chiropractic Assistant, Front Desk Coordinator), fostering a positive, collaborative, and professional work environment.

Manage scheduling, performance reviews, and training for support staff.

Develop and implement efficient office policies and procedures to ensure smooth operations.

Marketing & Business Development

Lead and execute local marketing and outreach initiatives (e.g., social media posts to increase visibility and patient engagement, “Lunch and Learn” education workshops at local businesses, physician referrals) to attract new patients and retain existing ones.

Track marketing effectiveness and report on key performance indicators (KPIs).

Billing & Financial Oversight

Serve as the primary liaison for our contract billing company, overseeing their work, ensuring accurate claim submission, follow-up, and timely collections.

Monitor accounts receivable and address complex billing or insurance issues as needed.

Manage office budget, purchasing, and vendor relations.

Front Office Support

Act as the critical backup for the front desk, covering for staff during breaks, absences, or peak hours. This includes:

Greeting patients, scheduling appointments, and managing phone calls.

Verifying insurance benefits and collecting co-pays/patient balances.

Maintaining patient files and ensuring compliance with HIPAA regulations.

Qualifications:

Minimum of 3 years of management experience, preferably in a medical, dental, or chiropractic office setting.

Demonstrated success in leading a team and implementing effective operational procedures.

Proven experience in developing and executing small-business marketing strategies.

Strong understanding of medical/chiropractic billing, coding (ICD-10/CPT), and insurance verification.

Exceptional organizational, communication, and problem-solving skills.

Proficiency with electronic health record (EHR) systems, and Microsoft Office.
