Central Ohio Primary Care is seeking a full time Associate Regional Business Manager at our central business office in Westerville, OH. The Associate Regional Business Manager provides administrative, operational & overall business performance support to COPC medical practices and the Regional Business Manager team. This position collaborates with all administrative departments as needed and consults necessary teams when clinical or operational issues arise related to patient care and/or achievement of business objectives.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

• Monitors practice communication channels (chat and central email) to provide first-level support to standard questions/needs by collaborating with subject matter experts to track down answers and solve problems. Escalates requests to appropriate Regional Business Manager for follow-up, as needed.

• Consolidates & documents themes & opportunities across practices and methodically reports recurring needs/questions/issues to Regional Business Management team to solution for with the larger administrative support team.

• Regularly communicates with practices, departments, and Regional Business Managers to support knowledge sharing and follow up on various projects/needs/initiatives.

• Supports company-wide and practice-specific policy & procedure/workflow updates – includes gathering/assimilating information, gaining consensus, and rolling out key operational changes broadly.

• Subject matter expert (SME) on office management workflows, supporting best practice development, training, etc.

• Enters key administrative information in various systems to support timely updates and changes, as needed/appropriate including serving as backup for practice management payroll entries/submissions.

• Tracks/maintains site succession & coverage plans. Serves as liaison for float team to ensure all practice resource needs are considered.

• Serves as liaison with legal, purchasing & accounting on creating/updating standard agreements, standardizing vendor/product & services use. Maintains registries across sites.

• Supports organization of key content for practice management on company intranet (in partnership with IT) to ensure resources are current and comprehensive/representative of the common needs of our practice locations.

• Compiles & organizes calendar of events for office managers, as well as supports agenda development and PowerPoint creation for meetings hosted by the Regional Business Management team.

• Tracks and reports on key business-related metrics to support organizational performance and growth.

• Implement system enhancements, redesigning workflows, and sharing best practices to optimize healthcare processes.

• Supports projects or events hosted by the Regional Business Management team.

• Collaborates with agilon partners to enhance service delivery by engaging in weekly huddle meetings, pod meetings and ongoing management of key performance indicators (KPI) of the value-based care space.

• Assist with planning and transition of new practices and providers joining, moving or leaving COPC to ensure continuity of services and care delivery.

• Serves as backup/fill-in to Regional Business Manager role when out of office or unavailable. Regularly shadows and participates in key functions of the Regional Business Manager (examples include proforma creation, site meetings, strategy planning/execution, etc.) role to support continuous development and ability to step in as needed.

• Other duties, as assigned.

QUALIFICATIONS:

Education, Licensures & Certifications

• Required: Bachelor’s degree in healthcare administration or business administration; or an equivalent combination of education and experience.

Knowledge & Experience

Minimum 3 years of experience in a healthcare, practice management or process improvement related organization is preferred.

Independent primary care experience preferred.

Knowledge of best practices regarding reporting, workflows, policies, procedures, systems, and culture in the healthcare environment.

Knowledge in all aspects of practice management, including:

Medical office policies/procedures

Administrative operations and workflow optimization

Revenue Cycle management

Regulatory compliance

People management and workforce needs

Knowledge of value-based programs, risk adjustment models, quality metrics (such as HEDIS and STARS) and office-based coding.
