Location

This position is located at 4040 Anderson Street in Whitby, Ontario. Please note there is no option for teleworking.

Program Assistant - RDPS

The Region of Durham Paramedic Services (RDPS) seeks a candidate to provide operational administration scheduling support to ensure appropriate staffing levels per the operating budget for a 24-hour emergency service provider. Reporting to the Manager/Commander, Operations Support, the incumbent will:

- Schedule paramedics based on legislative, policy and operational requirements utilizing electronic scheduling software and ensure appropriate staffing levels within scheduling software to maintain 24-hour coverage of staffed emergency vehicles

- Ensure timely and accurate input of documentation and program-specific data

- Create, maintain and update confidential scheduling-related files to ensure all documentation is accurately completed, organized, secure and readily accessible

- Follow up on documentation and data discrepancies as they arise

- Promote timely and effective customer service by responding to internal and external inquiries from staff and management team members in a prompt and efficient manner

- Prepare and distribute program-specific reports and correspondence

- Maintain confidentiality of all personal and personal health information per legislative and policy requirements

- Provide administrative support in the delivery of Paramedic Services programs

- Teach and provide updated education, development and training, which enables staff to develop current knowledge and understanding of scheduling related policies and procedures

The successful applicant must possess:

- A post-secondary certificate program of over one year and up to two years in Office Administration or equivalent that includes Accounting, Communication for Office Professionals and Computerized Document Production

- Demonstrated intermediate-level proficiency in MS Office applications including Word, Excel, PowerPoint and Outlook

- Previous related experience in an administrative capacity in a customer-focused setting

- Knowledge and proficiency in the use of electronic scheduling and time management software

- Knowledge of HCM - Employee Time Balances and time reporting codes as they relate to scheduling

- Familiarity with RDPS policies and procedures and the CUPE 1764 Collective Agreement relating to scheduling

- The ability to apply superior organizational and multitasking skills along with excellent attention to detail

- The ability to act with tact and diplomacy while dealing with confidential information

- Exceptional interpersonal and communication skills (verbal and written)

- A demonstrated ability to contribute to inclusive team dynamics, using practical time management skills to problem solve and multitask

- Capability to work independently to meet specified timelines in a flexible and dynamic detail-oriented work environment

The Region of Durham Paramedic Services is a 24/7 operation that requires scheduling beyond regular business hours, and this position is a rotational shift assignment. The successful applicant will be assigned to a shift schedule that will consist of a ten (10 or 8) hour shift spread over eleven (11 or 8.5) hours, not exceeding 140 hours per 4 week period. Assigned shifts fall between 7 am and 11 pm, with the potential of shifts past 11pm.

CUPE 1764 Salary Grade 4

This position is with Salary Grade 4 and will be paid at the following hourly rates:

- Start: $36.68 - Six Month: $38.71 - Job: $40.75
