Receptionist/Rehoming Assistant

Holly Hedge Animal Sanctuary are seeking a part time Receptionist who is passionate about animal

welfare to work 30 hours a week to include one day at the weekend.

Applicants must be conversant with Microsoft Word, Excel, CRM systems and have good general

IT skills. Knowledge of animal welfare and re homing preferable, but training will be given to the

right applicant.

Someone with empathy and understanding both with people and animals is essential, as well as

being able to work as part of our dedicated team. The pay rate is currently £11.58 per hour.

Main Responsibilities and Duties

Ensure Vet Checks and Home Checks are dealt with as a priority, and all paperwork is in

order before the animal leaves the Sanctuary.

Scan all adoption paperwork so electronic copies are logged on the database.

Ensure all After Checks have been carried out and documented.

Maintain accurate Database records of Holly Hedge animals, past and present including

outstanding Neutering/Inoculations/Training for adopted animals and arrange for follow up

either in writing, by telephone or a visit.

Add new cats/dogs to website once write up completed by cattery/kennel staff.

Match prospective owners to dogs and cats suitable for their circumstances.

Ensure that all procedures are followed to enable the office to run efficiently and effectively.

Maintain backup of Sanctuary information held on computers.

To communicate and be involved in meetings with animal welfare staff relating to the care

and rehabilitation of Holly Hedge animals, and their re homing.

To build a rapport with volunteers and make them feel welcome and appreciated.

Seek to resolve any complaints from public received, both verbally and in writing.

To be aware of and comply with Health & Safety guidelines.

Bring to Manager’s attention any emergency situation regarding animals needing to come in

urgently, particularly if they were adopted from HH.

Ensure Microchip information is logged correctly.

Ensure Pet Plan Insurance is promoted on adoptions.

Ensure e-mails are answered daily or forwarded to the relevant staff or trustees.

Maintain excellent customer service skills at all times.

ANIMALS ON OUR WAITING LIST AND EMERGENCIES - AT ALL TIMES MAINTAINING
