Full Time Office Manager

~contracted as Home Team Leader (NDIS)

SALARY $78,000 per year plus Superannuation

DUTIES

• Contributes to the planning, review and continuous improvement of participant support programs and administrative systems; develops and implements office and service standards in line with NDIS Quality & Safeguarding requirements.

• Allocates support workers to shifts and programs, manages staff rosters and workloads, and oversees the provision and maintenance of office equipment, assistive technology and vehicles used for service delivery; manages workspace arrangements for administrative and field staff.

• Assigns tasks to support coordinators and administrative staff, monitors performance, conducts inductions, training and ongoing performance reviews to maintain service standards.

• Maintains accurate participant records, service agreements, funding documentation and NDIS reporting requirements; oversees petty cash, invoicing and reconciliation of expenses related to participant services and office operations.

• Liaises with allied health professionals, plan managers, support coordinators and other stakeholders to coordinate participant services and resolve operational issues; acts as the first point of escalation for participant or staff concerns.

• Ensures adequate supply and maintenance of office consumables, participant care supplies and PPE; implements systems for stock control and timely procurement.

• Ensures the office and service delivery comply with WHS legislation, NDIS Practice Standards and organisational policies; conducts risk assessments of home sites and office premises and implements corrective actions.

• Oversees compliance with NDIS Practice Standards, Quality & Safeguarding Framework, and internal policies; prepares reports for management and NDIS audits.

• Coordinates recruitment and onboarding of support staff; manages rostering, payroll authorisations, training and professional development; supports staff to implement person-centred and trauma-informed care consistent with NDIS principles.

REQUIRED SKILLS

• Minimum 1-2 years of professional experience, preferably within social work, disability services or community support sectors.

• Background in administration and office management including reporting, client records, scheduling and compliance documentation

• Preferred experience in coordinating and managing the individual and group support services within disability or community sectors

• Strong knowledge of NDIS practice standards and participant planning requirements

• Ability to supervise and lead a team of support workers to ensure quality service delivery

• Demonstrated skills in client engagement, counselling and effective communication with families and stakeholders

• Proficiency in Microsoft Office and client management systems

• NDIS Worker Screening Check, Working With Children Check and First Aid Certificate (current)

• Additional training in disability support, leadership or NGO/community sector work will be an advantage
