BASIC FUNCTIONS:
Under the supervision of the Chief of Staff, the Executive Assistant/Scheduler will serve in the Capitol office as a full-time scheduler. Responsibilities include, but are not limited to, scheduling for the Senator, ensure accurate and up-to-date scheduling of meetings, calls, events, and internal commitments. Resolve scheduling conflicts and manage time effectively. Provide daily operational support to the Capitol office through administrative tasks and visitor services. Ensure timely communication of schedule updates and meeting preparation across the team. Arrange official travel for the Senator, including flights, hotels, ground transportation, and security when needed. Prepare detailed travel itineraries and briefings.Uphold strict confidentiality, discretion, and a high standard of professionalism in all aspects of the role. Applicants must be well organized, proficient with Microsoft Office, Outlook, Teams and PCs, and be able to work in a fast-paced, professional environment.
DUTIES :
The Executive Assistant/Scheduler will perform various office duties including answering phones, greeting visitors, processing correspondence, coordinating office resources, facilitating events, processing certificate/resolution requests, tracking team projects, and writing and researching in various capacities. The employee will track and manage FPPC reporting documentation. The employee will meet with constituents and advocates and provide additional legislative support as needed. The employee will complete the Member's reimbursements in a timely manner and arrange all travel accommodations for the Member. Working after hours and on weekends is essential to ensure the Member is on time for events. Candidates must be available via phone or Teams, have access to the Member's calendar and contact list, and be able to respond promptly. Assist with onboarding new staff and interns as it relates to schedule-related protocols and briefings. Manage tracking sheets of contacts, meetings and requests.
DESIRABLE SKILLS AND KNOWLEDGE:
Ideal candidates will have experience working in a fast-paced office environment and will work well as part of a collaborative team. Candidates should have strong interpersonal communication skills and an understanding of the Legislature and California government. Candidates must be highly organized, with systems in place to manage tasks effectively. They must take clear and concise notes, exercise sound judgment, proactively review the Member's schedule and provide thoughtful feedback and suggestions. Have strong communication skills along with the ability to work well with stakeholders and constituents.
EDUCATION AND QUALIFICATIONS:
High school diploma required. Bachelor's degree preferred. Please include verification of your degree with your completed application.
LOCATION, SALARY AND FILING DATE:
This position is located in Sacramento, CA and requires in person attendance .
The Senate's core business hours are 9:00 a.m. - 5:00 p.m., Monday through Friday, and may require after hours or weekend work.
Final salary will be commensurate with experience and education. Seniority and significant experience are required to reach the higher end of the salary range.
