Description:

The Front Desk Administrator is the first point of contact for patients and visitors, playing a crucial role in creating a positive and welcoming environment for the doctor's office. This position is responsible for managing patient flow, handling administrative tasks, ensuring efficient office operations, and providing excellent customer service.

Responsibilities:

Patient Reception and Check-In/Out:

Warmly greeting patients and visitors upon arrival.

Verifying patient information, including insurance details and contact information.

Updating patient records accurately in the electronic health record (EHR) system.

Checking patients in for appointments and managing the waiting area.

Collecting co-pays, deductibles, and outstanding balances, and processing payments.

Scheduling follow-up appointments and procedures.

Checking patients out and providing necessary paperwork.

Appointment Scheduling and Management:

Answering phone calls promptly and professionally.

Scheduling, rescheduling, and canceling patient appointments according to office policies and provider availability.

Managing the daily appointment schedule and ensuring efficient patient flow.

Confirming appointments with patients.

Handling appointment reminders (e.g., phone calls, emails, text messages).

Communication and Information Management:

Answering patient inquiries via phone, email, and in person, providing accurate information.

Taking and relaying messages accurately and efficiently.

Handling sensitive patient information with confidentiality and in compliance with HIPAA regulations.

Sorting and distributing incoming mail and faxes.

Preparing outgoing mail.

Insurance and Billing Support:

Verifying insurance eligibility and obtaining necessary authorizations.

Collecting and processing payments accurately.

Office Organization and Maintenance:

Maintaining a clean, organized, and welcoming reception area.

Ensuring adequate office supplies are available and ordering as needed.

Maintaining and troubleshooting basic office equipment (e.g., copier, fax machine).

Following office policies and procedures.

Electronic Health Record (EHR) Management:

Proficiently navigating and utilizing the EHR system for patient registration, scheduling, and record updates.

Ensuring data accuracy and completeness in the EHR.

Assisting with basic EHR troubleshooting.

Other Administrative Tasks:

Preparing forms and documents as needed.

Assisting with administrative projects as assigned by the Office Manager or Practice Manager.

Maintaining patient confidentiality in accordance with HIPAA regulations.

Requirements

Qualifications:

High school diploma or equivalent required; Associate's degree or some college coursework preferred.

2 years of experience in a medical office setting, preferably in a front desk or administrative role.

Proven experience with electronic health record (EHR) systems.

Strong understanding of medical terminology, insurance procedures, and HIPAA regulations.

Excellent customer service and interpersonal skills.

Professional and courteous demeanor.

Excellent verbal and written communication skills.

Strong organizational and time management skills.

Ability to multitask and prioritize tasks effectively in a fast-paced environment.

Attention to detail and accuracy.

Ability to maintain confidentiality.

Proficient in basic computer applications (e.g., Microsoft Office Suite).

Ability to work independently and as part of a team.

Physical Demands:

Primarily sedentary work, requiring sitting for extended periods.

Occasional standing, walking, and bending.

Ability to communicate clearly via phone and in person.

Work Environment:

Medical office setting with regular interaction with patients and staff.

May be fast-paced and require managing multiple tasks simultaneously.
