Job Requirements: High school diploma or general education degree (GED), three (3) to five (5) years office experience or business school training required, or equivalent combination of education and experience.

Incumbent should be able to apply common sense understanding to carry out instructions furnished in written and oral form, possess high-quality verbal and written communication ability, strong customer service skills, and be able to type 40-50 wpm.

Must be proficient in the operation of computer applications and various office equipment.

Job Summary: This position is primarily responsible for supporting the secretarial needs of the Executive Director; operating with substantial independence to perform multiple duties related to supporting the administration office.

Key Responsibilities: Administrative Office Functions Performs clerical functions for the Administration office as well as other general office duties assigned.

Performs word processing and clerical duties as requested in a timely and accurate manner; proofs all work upon completion, ensuring 100% accuracy.

Maintains Employee and Manager on Duty phone lists; distributes to appropriate staff as necessary.

Orders administration office supplies on a need be basis.

Types and distributes minutes from Director's meeting and Executive Director's roundtable within 24 hours of scheduled meeting.

Provides coverage of front desk as needed.

Organizes and maintains all filing systems in the administrative office.

Assists with special resident project requests (e.

copying, mass mailings, Opinion Surveys, etc.) as approved.

Checks fax machine and mail several times a day and distributes received faxes and mail accordingly.

Maintains contract and meeting notebooks; types all notes in an efficient manner and ensures information is accurate.

Reserves and schedules rooms within the community for special events.

Places food order with the catering manager when appropriate.

Directors Assistance Provides administrative support to the Executive Director on a daily basis.

Creates and maintains Executive Director's schedule on a weekly basis.

Serves as a liaison for the Administration and various department directors in providing assistance, setting appointments and relaying pertinent information.

Receives and screens incoming telephone calls for the Executive Director while ensuring proper transmittal of messages.

Ensures the accurate and efficient transmittal of information to and from the Executive Director's office daily.

Performance and Professionalism Maintains professional presence when representing Ingleside; exhibits degree of professionalism consistent with standards in performance, behavior, and appearance.

Maintains resident confidentiality and privacy at all times according to policies and procedures; uses discretion when discussing confidential matters.

Maintains positive working relationships with management and coworkers; willingly follows directions and requests as appropriate.
