Responsibilities include retrieving, digitizing, and distributing documents while maintaining high standards for quality, compliance, and efficiency. The ideal candidate will streamline processes, foster collaboration, and support accurate and timely document management.

The Role
Responsibilities
Digitization and Process Optimization
Digitize and retrieve physical and microform records, ensuring integration into searchable databases.
Collaborate with IT to improve digitization workflows and document distribution systems.
Document and Records Management
Organize, ship, and receive documents in compliance with industry standards.
Perform basic maintenance of printers, scanners, and similar equipment.
Coordinate delivery and transportation of mail, documents, and records.
Maintain safe records center practices in compliance with Occupational Safety and Health Administration (OSHA) standards.
Administrative and Analytical
Maintain departmental documentation and project tracking logs.
Audit digitization and distribution processes, implementing improvements based on findings.
Track and report performance metrics using Google Sheets.
Print and mail documents daily.
Archive Research and Fulfillment
Process requests for updates to official academic records, including changes to personal information and residency verification.
Research requests from customer service, third-party verification agents, and test-taker registrations.

Starting salary up to $60,000 per year, paid bi-weekly

Requirements
Essential
Strong attention to detail, curiosity, and commitment to continuous learning
Excellent verbal and written communication skills
Proficiency in Windows, Google Sheets, and web-based tools
Familiarity with print, mailroom, and document handling equipment
Strong organizational skills with the ability to manage multiple priorities
Experience using single-lens reflex (SLR) and digital single-lens reflex (DSLR) digitization equipment
Knowledge of Occupational Safety and Health Administration (OSHA) and facility compliance standards
Demonstrated leadership, collaboration, and problem-solving skillsDesirable
Experience with High School Equivalency (HSE) and Post Secondary (PSE) records
Proficiency in Google Docs and other digital communication toolsPhysical Requirements
Ability to stand for extended periods
Ability to lift up to 50 lbs. and work in a records center environment
Ability to operate pallet jack and fork lift equipment safely
