Position Title: Program Coordinator (50%, 2 Year Appointment) Job Category: Academic Staff Employment Type: Terminal (Fixed Term) Job Profile: Outreach Program Coordinator NE Job Duties: The Outreach Program Coordinator supports the mission of the Institute for Women's Leadership by developing, coordinating, and implementing community engagement, professional development, and outreach programming.

This role manages both recurring and special events, oversees communication and logistics, and supports operational excellence through process improvement and detailed administrative coordination.

This part-time position requires flexibility and occasional evening availability based on programmatic needs.

Key Job Responsibilities: Program & Event Coordination * Plan, organize, and execute events (e.g., speaker series, book clubs, leadership programs, Celebrate event). * Coordinate logistics including venue setup (in-person and virtual), catering, technology, registration, reminders, and post event follow up.

* Manage event calendars and maintain accurate scheduling.

Communication & Outreach * Serve as point of contact for program participants, members, the Advisory Board, and community partners.

* Manage email communication, social media updates, newsletters, and event announcements.

* Maintain and update CRM data (Salesforce, spreadsheets). Instructor & Facilitator Support * Coordinate agreements and onboarding for instructors and facilitators.

* Track and manage W9 forms, invoices, payments, and reimbursements.

Financial & Administrative Support * Monitor program revenue and expenses.

* Prepare budget updates and submit invoices.

* Track enrollments, refunds, reimbursements, and purchase orders.

Strategic Partnerships & Program Development * Identify and cultivate partnerships within and outside the university to enhance program reach.

* Recommend and implement process improvements to support program growth.

Collaborative Projects & Cross-Functional Support * Actively contribute to shared initiatives like Advanced Leadership, Women on the Rise, Emerging Leader, Stories from Experience, and Caffeinated Conversations.

* Maintain documentation and participate in planning meetings.

Key Job Responsibilities: * Plans, organizes, promotes, and executes program events * Identifies, cultivates, and maintains internal and external partnerships to promote the outreach program * Schedules and secures logistics and resources in support of an outreach program * Schedules day-to-day activities for program staff and student and community volunteers * Identifies opportunities for program improvement or new outreach program development Department: Schreiber Institute for Women's Leadership Compensation: Minimum compensation of $19.00 per hour.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA). Required Qualifications: * Associate's degree or equivalent experience.

* Minimum of 2 years' experience in program coordination, outreach, or administrative support.

* Strong time management, organizational, and interpersonal skills.

* Proficiency in Microsoft Office (Excel, Word, Outlook), Zoom, and CRM tools (Salesforce preferred). * Ability to work independently and collaboratively in a fast-paced environment.

* Access to reliable transportation and a valid Wisconsin driver's license.

Preferred Qualifications: * Bachelor's degree in a related field.

* Experience in higher education, nonprofit, or community-based programming.

* Knowledge of event planning, budget tracking, and contract administration.

* Familiarity with LinkedIn tools (e.g., LinkedIn Live) and marketing communications.

Conditions of Appointment: This position is a part-time (50%) Academic Staff appointment.

A criminal conviction investigation will be conducted on the finalist(s). A six-month probationary period is required for this position.
